Job description

A six month contract based in Kempston.

This role manages and ensures the provision of the confidential administrative support to the in-house Occupational Health Team as well as external OH suppliers. It is responsible for the review of all existing administrative processes and the development of revised administrative support services that maximise utilisation of ICT to achieve efficiencies in service delivery and effective Occupational Health administrative support.

The post holder works in a clinical setting that requires a high level of confidentiality and sensitivity due to the sensitive information processed within the department. On a day-to-day basis the post holder will have a large amount discretion in planning and arranging activities and is not expected to require a high level of supervision when completing the tasks agreed. This requires independent working and selfmotivation.

MAIN DUTIES AND RESPONSIBILITIES
  • Take lead responsibility for the management, development and security of Occupational Health and Wellbeing Service Information Systems and all electronic databases and records ensuring that information governance principles and best practice are adhered to. This includes the production of documented processes and training existing members of the OH team in their effective use.
  • Develop and implement systems to ensure electronic communications, phone calls, and correspondence from all levels within the organisation and external parties are screened, sorted and prioritised; that deadlines and priorities are considered and appropriate action is taken in order to provide a focal point for information flow to and from Occupational Health.
  • Review the existing document storage arrangements for confidential Occupational Health records and develop and implement revised processes, maximising use of the ICT systems available (Office 365, Sharepoint, etc). Ensuring that the requirements of the General Data Protection Regulations and Access to Medical Records Act are considered and incorporated. This includes the production of documented processes and training existing members of the OH team in their effective use.
  • Undertake research, collating, reviewing and distilling relevant information and statistics on topics as directed by the OH Manager to support decision-making processes and data submissions for HMI / other internal auditing.
  • Develop and implement a documented system to oversee the management of the clinical OH Team diaries, including forward planning, prioritising appointments, arranging meetings, to ensure that clinical time is used to maximum effect. Including training / coaching existing members of the OH team in their effective use.
  • Manage the OH Administrative Support Technician prioritising workloads and devising and implementing systems for effective support and continuous improvement.
