Job description

 

The Site Operations Admin employee is responsible for looking after day-to-day field service administration for the Engineer Team. Full training will be given.

Duties include but are not limited to –

  • Van stocks/booking out consumables
  • Timesheets
  • New starter paperwork
  • Filing paperwork i.e. van paperwork/engineer certificates
  • Preparing certificates for internal training courses and filing
  • Booking in training courses and updating the training matrix
  • Answering inbound calls and emails
  • Providing cover for other administration staff
  • Raising purchase requisitions to the purchasing department
  • Booking in vehicle repairs, MOT’s, services
  • Engineer security clearances
  • Ordering engineer tools
  • Assisting with paperwork/checklists for engineers’ annual reviews
  • Ad hoc duties as required.

This candidate will also be asked to help the team cover Maternity leave for the Spare Parts Coordinator. This is due to commence (currently) as of October 2024 and run for a period of 9-12 months (exact length of time TBC). Duties will then be reallocated when the maternity cover ends so will remain as full time.

The Service Co-Ordinator for Spare Parts is responsible for looking after day-to-day administration for the Spare Parts Department.

Duties include but are not limited to –

  • Quoting for spare parts
  • Processing spares orders
  • Invoicing spares orders
  • Management of the dedicated Spares email address
  • Co-ordinating with accounts and clients to clear up overdue invoices
  • Raising purchase requisitions to the purchasing department
  • Post duty for main office
  • Ad hoc duties as required.
