We currently have an exciting opportunity for Speaker Liaison Coordinator in London.

Our client run many market leading business exhibitions in the learning, healthcare, technology, and veterinary sectors, with events in the UK, Europe, USA and Asia. They are looking for exceptionally organized, methodical, and self-motivated individual.

The Speaker Liaison Coordinator plays a crucial role, acting as the bridge between the Show Director, Marketing, Sales, and Operations teams, suppliers, partners, and speakers to ensure seamless conference execution. They are seeking an individual with excellent time management, attention to detail, and outstanding communication skills at all management levels.
THE ROLE:
To facilitate smooth communication and coordination between various teams, suppliers, and speakers, providing top-notch support to ensure a hassle-free experience for speakers and sponsors. Your role is essential in supporting promotional campaigns and ensuring the event team has all the necessary information.

  • Clarify event briefs with Event Director, Marketing Manager, and Conference Manager
  • Execute speaker agreements and manage speaker requests professionally and in a timely manner
  • Coordinate the creation and editing of promotional materials with internal and external designers
  • Manage speaker accommodation, fees, and expenses within event budgets
  • Provide accurate briefs for operations teams, AV companies, conference chairs, and speakers
  • Oversee onsite coordination of speakers, AV technical team, and speaker lounge at events
  • Organize logistical requirements for organizations holding small special events
  • Any other ad hoc duties as deemed necessary by the line manager
  • Obtain, publish and edit speaker pictures, biographies and session descriptions in line with the marketing and promotional deadline
  • Use of our content management system (CMS) to keep online programmes up-to-date
  • Request and receive speaker slides to correct AV specifications and to the deadline

  • Willingness to travel and attend events in the UK and abroad for a minimum of 3 days
