Role:                   Document Assessment & Disclosure Officer

Department:       Legal Services

Location:            Force HQ, Carbrook, Sheffield

Salary:                £29,874 - £33,915

Hours:                37 Hours per week

Contract Type:  Temporary until 31.03.26

 

We have an exciting opportunity for a Document Assessment & Disclosure Officer to join our Legal Services Team and play a crucial role in maintaining accurate records of Legacy Incident material held by South Yorkshire Police. This will include documents linked to investigations, disciplines, inquests, inquiries and civil litigation.

As the Document Assessment & Disclosure Officer you will be responsible for:

  • Receiving and reading all material (statements, documents, interviews, etc.) linked to the legacy incident.
  • Providing detailed descriptions of relevant material, making decisions as to the sensitivity in accordance with GSC policy and linked to civil and or criminal disclosure guidelines.
  • Assessing information, undertaking risk assessments, presenting analysis of findings, commenting and making recommendations for the disclosure of information, consulting information managers, officers and other third parties where appropriate.
  • Assessing and dealing with highly confidential and sensitive information e.g., RIPA (Regulation of Investigatory Powers Act), Legal Professional Privilege (LPP), etc. to ensure appropriate handling and disclosure risk assessment measures are in place.
  • Making disclosure decisions and cause responses to requests within the agreed criteria.
  • Consulting with the Office Manager on the development of administration process and quality assurance to ensure accurate and timely processing of material.
  • Implementing appropriate monitoring systems and producing management data on a weekly basis to the Office Manager.
  • Deputising for the Disclosure Office Manager in his or her absence and supervising Indexing staff in respect of the legacy incident.

Ideal skills and experience:

  • Hold Professionalising Investigation Programme (PIP) Level 2 or alternative relevant qualification/experience within data management.
  • Have experience and conversant with Criminal Procedure and Investigations Act (CPIA), Disclosure Manual and Attorney General Guidelines and / or
  • Have experience and conversant with Information Management legislation, the
  • Data Protection Act (DPA), the General Data Protection Regulations (GDPR), and the Freedom of Information Act (FOI).
  • Have work experience of computerised systems particularly operating and maintaining word and Excel.
  • Ability to deal with highly confidential and sensitive information.
  • Be HOLMES2 trained.

Eligibility:

Applicants must meet the minimum requirement checkable history criteria, which must be taken into account for individuals applying to work with South Yorkshire Police in any capacity.  A minimum checkable history of 5 years is required for this role and successfully undergoing recruitment vetting procedure is a pre-requisite of employment with South Yorkshire Police.
