Job overview
The Clinical Governance Team are looking for a committed individual to provide secretarial and administrative support to our busy and friendly team. The successful candidate must be computer literate, have an excellent eye for detail, proven organisation skills and be committed to consistently delivering a quality service.
In this role you will have good communication skills to fill the role of the Team Administrator and be passionate about ensuring people who use our mental health services receive high quality and safe care.
This role will require a flexible approach to work, with an ability to prioritise and manage workloads. Individuals will be able to work as part of a team and also under their own initiative.

Main duties of the job
  • To provide comprehensive secretarial and administrative support to the Business Manager and wider team.
  • Administration of meetings to include agenda preparation and taking and producing minutes.
  • To be responsible for maintaining sickness and absence records for all staff and related employee information.
  • Use the Trust Shared Business System (Oracle) to raise requisitions, authorise orders and receipt invoices where necessary.
  • To maintain an overview of the administration function and workflow within the team.
  • To consistently deliver service user focussed service, which promotes good customer care and effective working relationships.

Qualifications
Essential criteria
  • Good standard of secondary education; GCSE at Grade C or above.

Experience
Essential criteria
  • Significant experience of working as an administrator or secretary and the procedures.
  • Experience of taking minutes and producing documents to a high standard of presentation with good accuracy.
  • Experience of generating own correspondence.
  • Experience of working as part of a team.
  • Ability to work under pressure.

Skills
Essential criteria
  • Ability to be able to plan workload, manage diaries, organise appointments, planning workload associated with key meeting dates.
  • Planning, organising and facilitating meetings and minute taking.
  • Ability to work on own initiative and prioritise own workload.
  • Ability to work to tight deadlines and deal with conflicting demands.
  • Ability to learn and utilise new IT systems.
  • Excellent communication and interpersonal skills, ability to create and maintain effective working relationships.
