The Group Innovation team at DS Smith was established in 2019, with the mandate to initiate, develop and support the deployment of breakthrough, next-generation packaging innovations that can deliver significant value to our customers and the company.
Role
The Group Innovation team requires an on site Team coordinator to support the Coordination of the Teams for a fixed term contract of 1 year to cover maternity leave and will report directly into the Innovation Site Coordinator.
The responsibilities will be varied to encompass all aspects of site management; Purchasing, Office Administration, IT support, Travel and Meeting Coordination.
The ideal candidate will be highly organised and proactive and will enjoy working in an exciting and fast paced environment, and within a state-of-the-art facility with a multi-disciplinary team.
Key Accountabilities
Meeting Coordination
Managing the site visits and team calendars, including room and parking space booking
Supporting with arranging travel & accommodation for visitors
Making arrangements for catering when required
Set up of meeting rooms and facilities for workshops
Off-site event coordination including Travel and hotel bookings
Office Administration
PA Duties to Senior Team Members, including travel and hotel bookings
Mail deliveries
Arranging courier drop off / collections
Receipt of goods at site
P Card reconciliation every month for multiple team members
Ordering of office supplies, stationery, kitchen supplies
Coordination of room and team diaries across Europe
SAP account holder for the progress chasing and receipting of POs and processing and payment of invoices etc
General Support to Site Coordinator including:
Supporting with supplier contracts and liaising with respective contacts
IT on site
Procurement/Purchasing
About you
Experience in similar roles is preferable but not required
Experience using SAP or other similar purchasing systems
Cost management experience, recording and documenting expenditure
IT literate: - Sound knowledge and experience of Microsoft applications, Excel, Word, Powerpoint, etc.
Highly organised, structured and methodical
Reliable and dependable
Has great attention to detail, takes a lot of care in their work
Great Communication skills
Driven and self-motivated, uses their own initiative
A team player who enjoys working in a fast-paced, collaborative environment
Thinks on their feet; is comfortable with ambiguity and change of direction or project focus
Another language, such as French, German or Spanish would be advantageous although not essential
