Job description

Purpose of the role
To complete, communicate and distribute service schedules to all contractual customers, ensuring full compliance to customers O licence and SFS contractual obligations. Delivering the outputs to agreed deadlines and keeping the fleet management system fully updated.
 
Duties and responsibilities
Full responsibility for Scheduling of All Customer Vehicles
  • Production, validation and distribution of monthly schedules for all the SFS workshops, external workshops and SFS customers to agreed deadlines.
  • Liaising with operators, workshops, technical controllers and contract managers to agree the schedules.
  • Following agreed dates confirm with External Vendors booking confirmations, support in ensuring the work is carried out as planned.
  • Create and keep updated the 12-month planners to ensure a smooth maintenance work profile for the Internal Workshop & External vendor which maximises vehicle utilisation gaining full customer approval of the planners.
Responsible for the validity of the compliance data within the Fleet management system
  • Maintain all asset scheduled compliance event seed dates on Fleetwave i.e. MOT, Services A, B, C, Tacho, LOLER Inspections for the SFS fleet
  • Adding new vehicles to the fleet management system and agreeing the first service events with the operators, workshops, and contract managers. Updating the system dates following this agreement.
  • Liaising with all stakeholders to arrange for vehicles no longer on contract to be removed and all future bookings cancelled, and system cleansed.
  • Run Compliance service reports, to validate fleet legal compliance.
Ownership of The Scheduled Bookings & Jobs on the Fleet Management System
  • Full cleanse of the fleet management system to ensure all assets are compliant.
  • Ensure all events are updated within the system to not impact future compliance scheduling.
  • Management via workflow KPIs scheduled compliance events.
  • Escalating any compliance issues or anomalies to the technical management team.
  • Ongoing review and enhancement of scheduling processes.
  • Production, ownership and ongoing review of processes relating to this role or any activity undertaken.
Participate as a member of the Technical Service team
  • Be an active team member responsible for answering fleet desk calls and directing or acting on the call accordingly.
  • As scheduled manage the incoming “Fleet” inboxes to ensure emails directed correctly.
  • To provide support as guided by the teams management to support colleagues
Adhoc projects & any other duties as required
 
Working Hours
Monday to Friday - 8:30 - 17:30 - 40 hours per week

  • Confident communication skills
  • Ability to reduce complexity of data to validate activities
  • Extremely proficient in MS Suite
  • Customer service skills and the ability to work alone whilst being a team player
  • High level of accuracy and attention to detail
Desirable Skills
Experience working with O Licence vehicles
Having worked in a commercial vehicle facility
Full clean driving licence
