TITLE:Temporary PA - Immediate Start

LOCATION: Yeovil

SALARY: £23,696 PA (FTE)

HOURS: Monday - Friday (4.5/5 days per week)

THE ROLE: Office Angels are working with a local and well-established school in Yeovil who are seeking an organised and process driven PA to support the Senior Management Team, providing a full range of support, including diary management and implementation of procedures as well as word processing and clerical duties. This role is starting immediately until June 2024; therefore you must be able to commit to the full duration.

KEY DUTIES:

  • Pro-actively maintaining the diary, ensuring that meetings and trips away from the school are planned and organised to ensure their smooth running and that there are no clashes. Include papers that are needed for the meeting for the Vice Principal so that the Vice Principal is aware and prepared for each meeting
  • Liaising with Vice Principal frequently and regularly to be an effective assistant and ensuring strong communication and enabling ability to deal with matters, which arise in the absence of the Vice Principal and during busy periods using own initiative, within prescribed guidelines
  • Developing and maintaining effective working relationships internally and externally which are focused on excellent customer service and sharing of timely information
  • Taking a pro-active part in organising the committees for which the Vice Principal is responsible for, with particular reference to timely reminders to prepare, agenda setting and maintaining a list of and co-ordinating the actions arising
  • Follow up after meetings, making sure that actions are noted for the Vice Principal to complete/monitor
  • Carrying out to a good standard a broad range of administrative duties including managing correspondence, letter writing, preparing papers, reports, agendas, distributing actions and notes from meetings and material for submission to bodies (both within and beyond the school). Minute taking of various committees/other bodies as required
  • Inviting, co-ordinating and receiving visitors and members of staff attending meetings and undertaking the necessary hospitality arrangements, including Internal Auditors and contractors. Handling telephone calls and messages with regards to the smooth running of the Vice Principal's diary and other commitments
  • Coordinating documents and information for management meetings and external meetings and internal management training events as organised management training
  • Key point of contact for Ofsted visits and to support Vice Principal with Ofsted responsibilities, including organisation of meetings/schedules for an inspection or monitoring visit
  • Handling telephone calls and messages to ensure the smooth running of the diary and other commitments, along with opening and sorting post

KEY SKILLS:

  • Experience within an administrative or PA role supporting a Senior Manager
  • Experience in an educational environment would be advantageous however not essential
  • Excellent interpersonal skills, shown through your ability to communicate clearly with all stakeholders.
  • Strong IT skills with knowledge of all Microsoft Office packages
  • High attention to detail and accuracy
  • Proven experience working with minimal supervision
