Job description

Job title:  Tenancy Officer

Overall Purpose of Job

To provide a high quality, customer focused tenancy management service predominantly within a specified geographical area covering South Yorkshire and East Midlands, ensuring efficient and effective management of the Company’s housing stock.  

Driving Licence is essential for this role

Main Responsibilities

  1. Deal with all tenancy and estate management issues that form part of Ongo’s tenancy management service such as starter tenancy visits and permission requests.
  2. To deal with all aspects nuisance, neighbour disputes and anti-social behaviour and enforce conditions of tenancy.  Liaise with Community Resolution Team when legal action is required and support them in producing evidence for court.
  3. Deal with all tenancy management matters before and after a tenancy ends such as non-occupation investigations, illegal occupation cases and evictions.
  4. To deliver services to our customers using a coaching approach.
  5. Carry out inspections of property and estates as required to ensure they are  maintained to Ongo standards.
  6. Ensure the public have access to informed, high quality and appropriate advice and information on housing, estate management matters and welfare issues.  Provide advice and support to tenants who are failing to keep to tenancy conditions and to work effectively with the wider tenancy services team and external agencies to provide specialist support and achieve long term solutions.
  7. Develop and maintain consultation and participation with residents, including representing Ongo Homes at formal and informal resident meetings or as part of estate or service improvements work.
  8. Represent Ongo Homes at multi agency meetings relating to tenancy or estate management issues.
  9. Highlight emerging issues within communities and on estates that affect tenancy and community sustainability and work with internal departments of Ongo and external agencies to address these issues.
  10. Liaise and support other Ongo teams and /or other organisations involved in tenancy or estate management matters, including community development opportunities, where normal tenancy management approaches are not suitable or where investment programmes are being planned or delivered.
  11. Undertake other duties and responsibilities appropriate to the grading of the post, as considered appropriate by the management team.          
  12. This post is not restricted to a specific area and the post holder will be expected to work at any location, as required.

 

Knowledge, Skill & Experience Required

  • Experience of working in a busy environment with conflicting pressures and demands.
  • Experience of delivering quality customer service to a broad cross section of the general public.
  • Preferably some knowledge of housing related issues.
  • Excellent communication skills and ability to draft clear and concise correspondence and reports
  • Ability to deal effectively and sensitively with members of the public in a variety of communication formats
  • Ability to use modern office based PC systems (i.e. Microsoft Word, Outlook etc.) and to demonstrate computer literacy.
  • Ability to use, update and manipulate database applications and to demonstrate computer literacy.
  • Ability to update and maintain systems and records with a high level of accuracy.
  • Good organisational skills and ability to work to deadlines as necessary.
  • Ability to represent Ongo in a ‘positive’ and effective manner at all times.
  • Ability to work under pressure and make complex decisions at high levels that will have consequences to the customer and the company.
  • Possess an understanding of and empathy with Ongo’s aims and values.
