Job description


An exciting opportunity has arisen for an enthusiastic and motivated person to join the Administration Team in the Therapy Department at the Royal National Orthopaedic Hospital NHS Trust. We need a well organised person to take responsibility for the administrative aspects of the service.
You will be providing administrative support to the Physiotherapists and Occupational Therapists who provide rehabilitation to patients who undergo limb amputation surgery and rehabilitation. The post is based at the prosthetic rehabilitation service on the Stanmore site.
Ideally the 15 hours would be split over 4 or 5 days, Monday to Friday.
The post-holder will work with Therapy team lead in amputation rehabilitation to provide efficient and effective administrative support to the department.
The post holder will work within the department to provide admin and clerical assistance to the therapy team. This will Including managing inward referrals and appointments, administration of outward referrals to external agencies including social services, wheelchair services and limb fitting centres. This requires excellent communication skills via telephone and email use.
The post holder will be required to liaise with clinical and non-clinical staff to facilitate the effective and efficient management of waiting lists and appointment booking systems.
The RNOH is a national centre of excellence with an international reputation for diagnosis, assessment and treatment of neuro-musculoskeletal conditions.
This ranges from the most acute spinal cord injury, bone tumour and complex joint reconstruction to orthopaedic and specialist rehabilitation.
It offers an integrated range of clinical, teaching and research services unique within the UK and in partnership with University College London.
• To book, amend, cancel and reschedule appointments, in consultation with allied health professionals, patients, relatives and carers.
• Identify and report to the Admin coordinator any patient who may potentially breach waiting time.
• To answer non-clinical queries, take messages and forward them to the relevant person and/or forward calls to the relevant extension. Answer all telephone call politely and professionally ensuring relevant information is passed on the appropriate person as necessary
• To process all referrals and other documents, and to input data into paper-based and electronic systems.
• To ensure that all information on referrals, documents and electronic systems is accurate, up-to-date and complete.
• To contact members of staff within the Trust and from external organisations to clarify information or seek further information where necessary.
• To book interpreters and request portering services, and to liaise with the transport office.
• To manage, amend and update therapists’ diaries.
• To accept delivery of all incoming post and faxes, to process them, store them securely, and/or forward them to the appropriate member(s) of staff.
• To locate, retrieve, update, track, transport and store all relevant files and medical records and solicitor requests securely.
• To scan, photocopy, fax and print documents, as requested.
• To write and edit letters/other correspondence, and prepare them for posting.
• To ensure patient leaflet/information boards are up-to-date and well-stocked.
• Adhere to the Trust access policy when managing patients who do not respond to invitations to or do not attend appointments.
