Location: Solihull, UK
Type of Role: Fixed-term contract
Work Model: Hybrid, 2 days per week in the office.
SOTI Inc. has an excellent opportunity for a Travel Coordinator or recent graduate from a related program who wants to join a corporation to advance his/her career in the corporate travel and administration field.

In this role, you will provide professional travel coordination service to the employees of SOTI Inc. including Executives, Directors and Managers. Responsibilities include all types of reservations such as; air, hotel, car, and ancillary services to meet all aspects of a traveler.

Responsibilities
  • Develop complex domestic/international itineraries for multiple regions, involving multiple destinations, or complex scheduling
  • Aiding with documentary requirements for travel and visa support.
  • Complying with the travel policy and congregating necessary approvals before making travel arrangements for employees.
  • Allocate Lieu days for employees travelling to corporate events while complying with the Lieu policy.
  • Identifying future travel needs and proactively making arrangements for accommodations, to be cost-efficient (annual corporate events).
  • Maintaining and updating master travel spreadsheets for compliance purposes.
  • Submit Credit Card expenses in Workday with appropriate backup on time (locating receipts and approvals for each transaction).
  • Ensure all billable travel is followed up and billed accordingly.
  • Creating and managing multiple schedules.
  • Dealing with any complaints and escalating them if necessary.
  • Manage all Corporate accounts (e.g. Air Canada, Uber, Airbnb, Expedia).
  • Manage all travel reward systems appropriately (e.g. Aeroplan).
  • Handle group travel as requested.
  • Recommend the most cost-effective options for achieving traveler’s needs, while meeting deadlines.
  • Manage all travel profiles with the utmost confidentiality.
  • Dealing with urgent situations, occasionally on evenings and weekends.
  • Assisting in the relocation of overseas hires to Canada (flights, public transportation, medical insurance, long-term rental accommodations).
  • Other tasks as assigned.
Qualifications
  • 1 year of experience as a travel consultant or administrative assistant is preferred.
  • A college diploma or university degree is required.
  • Outstanding phone and interpersonal skills.
  • Must be poised and professional.
  • Strong written and verbal communication skills.
  • Ability to efficiently handle challenging employee requests.
  • Strong analytical and problem-solving skills.
  • Knowledge of online booking tools.
  • Ability to function in a fast-paced, demanding environment.
The ideal candidate will be enthusiastic, proactive, meticulously focused on details and accuracy, and willing to learn and take on new tasks.
