We have an exciting opportunity for an Office Based Administrator to join our Chichester Service. The new post holder will be required to provide administrative support to the service.
Where: Crawley and Worthing
Salary: £23,400 - £23,685.20 (CGL Scale 17 - 18) pro rata
Responsibilities:- Maintain and assist with process of prescription generation and changes in scripts across West Sussex Drug & Alcohol Wellbeing Network and in line with medical reviews.
- Co-ordinate the administration of the prescribing services by printing scripts, reporting and co-ordinating despatch to pharmacies within timescales required to meet start dates.
- Act as first point of contact within the service, for actions and discussions around prescriptions and controlled stationary.
- To ensure that telephone calls and visits from service users, outside agencies and Change Grow Live staff are dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
- To monitor under 25s email inbox and process in line with CGL procedures.
- Provide weekly administrative support of under 25s service operations, including minute taking for clinical and team meetings.
- To ensure there is a clear and concise policy which is in line with CGL medicine management process for the delivery and storage of controlled stationary.
- To ensure that information received from pharmacies is processed and acted upon promptly and efficiently.
- To ensure effective processing of correspondence/data entry as required.
About you:
- Knowledge of general office procedures.
- Working knowledge of Criis database.
- Experience of working with controlled prescription stationary.
- IT literacy including proficiency in word processing, excel spreadsheets and other MS applications.
- Good interpersonal skills and a willingness to work flexibly as part of a team.
- Ability to work at various locations to meet the need of the service and a willingness to travel to different localities at short notice.
- The ability to respond to appropriate requests for assistance, maintaining confidentiality whenever necessary.
- Minute taking experience.
- Solid numeric skills.
- Good organisational skills.
- Confident and effective communication skills, both verbally and in writing.
- Excellent time management skills.
