Job description

The post holder will provide accurate and efficient administrative support to the service provided within the Local Neonatal Unit (Gosset Ward).
The role includes providing support to medical and nursing staff as well as internal and external departments involved with the care package for the neonate and family. The post holder will ensure that administrative activities are sustained and that information requested will be provided and recorded in a timely manner. There is an expectation that the post holder will be able to communicate at all levels, prioritise workload and work independently and unsupervised as well as a member of the unit team.
In addition to the main clerical responsibilities the post holder will work autonomously and will help to maintain the clinical database and system programmes used within the unit. This includes collating inpatient information such as delivery and clinical details, level of care, investigations and outcomes, packages of care which include for example the need for respiratory support, medications including immunisations onto a data entry system.
The role also includes supporting the Ward team assistant in various duties.
To be responsible for maintaining the Badger data entry system for the unit. This involves ascertaining appropriate information on a daily basis and applying clinical understanding to identify insufficient and incorrect information and using problem solving techniques to manage the problem.
Ensure the Camis system is maintained accurately reflecting the patient’s journey from admission to discharge.
To have knowledge of the East Midlands Neonatal operational delivery network.
Ensure statistic collection system is maintained with correct and up to date information on a shift basis.
To support staff with the administrative aspects of the admission and discharge processes.
Source NHS numbers and ensure records are updated.
Support the ward staff in identifying babies who require screening for Retinopathy of Prematurity, ensuring paperwork is completed and make appointments as necessary.
Ensure incoming and outgoing post is directed to appropriate staff within the team.
To answer and manage internal and external telephone enquiries redirect to appropriate person as necessary.
Ensure folders for nursing and medical documents are requested from medical records, make folders up and ensure that nursing and medical documentation is led correctly. Order second volume notes as necessary.
To promote effective communication channels both within the ward /department /directorate and Trust.

Ensure the medical and nursing staff have access to a daily ward inpatient list.
Ensure that there is a readily available supply of stationary within the unit. This includes photocopying documents as and when required and liaising with Desk Top Publishing (DTP) to arrange printing of specific and updated documents. Access to EPROC system.
To be responsible for booking outpatient appointments as requested by nursing / medical staff.
If requested accept donations on behalf of the unit, ensuring these funds are correctly paid in, managing the storage of donation receipts and ensuring an individual acknowledgement to the donor is made by the appropriate personnel.
Supporting nursing and medical staff with the transfer of a baby to another neonatal unit.
Ensure folders can be tracked in and out of the unit and effectively manage any deviations from the tracking system. Access medical records department to obtain medical notes as necessary.
Preparing medical notes and patient list for monthly meetings.
