The Role
The Student Success Unit is responsible for developing and supporting the delivery of an outstanding and distinctive student experience so that students have a high-quality University experience. As part of Student Success, the Careers Service supports all students and recent graduates towards a positive graduate outcome.
Working within the Work Experience Team you will be responsible for coordinating administrative processes to support Work Experience opportunities, focusing mainly on the Careers Service Placement Year. The Careers Service Placement Year is a 9-12 month, self-sourced, Work Experience opportunity for students from various Schools within the University.
You will play a key part in supporting the Work Experience Advisers through accurate record-keeping and by ensuring proper administrative processes are followed. You will also provide day to day information to staff, students and employers as required. You will assist in the marketing of the Careers Service Placement Year through a range of methods to promote awareness to students and provide exceptional customer service to the students and employers.

Key Accountabilities
Coordinate administration and systems to support work-based learning programmes such as internships, placement years or student employment on campus, this may include:
Reviewing, improving and maintaining administrative and financial records to support work-based learning activities
Supporting onboarding, recruitment and selection processes including shortlisting, scheduling interviews and providing interview feedback
Signposting students to support relating to self-reflection and how to articulate the value of their Work Experience
Developing, maintaining and producing a range of data, evaluation and promotional reports, acting on feedback, developing examples of best practice and compiling quantitative and qualitative statistical data
Ensure compliance with all prevailing employment legislation incl. UK Visa and Immigration requirements by conducting Right to Work checks for new student workers
Working closely with People Services provide support to colleagues in relationto the University’s policy on Student Employment
Organise Work Experience sessions and coordinate all related communications
Provide exceptional customer service to students and employers:
Build rapport with students both on an individual and group basis to support their work-based learning activities
Develop and maintain relationships with internal and external services/organisations to create work-based learning opportunities for our students
Develop and maintain evaluation processes, ensuring satisfactory progress and outcomes, acting on feedback
Act as a first point of contact with key stakeholders, dealing sympathetically and effectively with students, colleagues and external employers - resolving issues where possible whilst escalating urgent issues to relevant staff where necessary
Advertising and Promotion:
Promote the full range of work-based learning opportunities to current students and internal/ external stakeholders
Coordinate and develop targeted outreach strategies to engage students, promote awareness and increase application levels
Research potential target sectors, organisations or internal services to approach regarding work-based learning activities
Maintain and develop relationships with internal and external stakeholders to increase awareness of Careers Service activities
Provide supervision to the Work Experience Assistants
Work with colleagues across Student Success to ensure design and delivery of our provision considers the needs and requirements of designated service user groups (e.g., students with additional needs, international students, Early Career Researchers, or Degree Apprentices)
Undertake any other duties reasonably requested in the delivery of the Careers Service’s strategic objectives including occasional out of hours/evening work

Knowledge, Skills and Experience
Confident use of Microsoft Office (particularly Excel), databases, the internet and a range of social media
Administration experience in an office environment, including evidence of systems improvements
Ability to consider new ways of working and to apply new technology
Experience working in a customer-focused environment
Excellent attention to detail with a high level of accuracy
Excellent planning and organisational skills, with the ability to prioritise a complex workload and working to tight deadlines
A team player, able to develop and maintain productive working relationships with internal and external customers, including the ability to motivate others
Good communication and interpersonal skills including the ability to negotiate
Good problem solving with ability to use initiative
Sound numeracy skills to compile and interpret statistical and financial data

Qualifications
English Language GCSE grade A-C or equivalent
