Salary is £22,000 per annum (plus LW) on a 1-year contract, continuing subjet to funding

One Million Mentors (1MM) is an exciting community-based mentoring program, quickly growing roots around the UK. Our aim is to recruit, train and deploy a million mentors in order to transform a million young lives. 

1MM has developed an online platform, using the latest technologies, to train professionals who are then digitally matched to young people via youth partners (educational institutions, charities and employment programs).

Pre - pandemic, mentoring supported young people aged 14-25yrs, and took place face to face for one hour, once a month for up to a year on the site of youth partners. We have established 5,000 mentoring relationships partnering with over 200 employers and 100 youth partners. 

In response to the pandemic, 1MM developed a safe and secure way to deliver mentoring online for both mentors and mentees (aged 18 to 25 years old), where the journey includes; signing up to 1MM’s platform, completing a profile, undertaking the 1MM Mentor Training Program (online modules and a workshop facilitated by experts), being matched digitally and then meeting for one hour a month via video conferencing.

1MM also provides ongoing online support to mentors and mentees by offering additional skill building workshops and checking in with ongoing relationships each month to make sure all is going ok.

 1MM Programmes Administrator, job description

Mission: One Million Mentors’ aim is to ensure that every young person in the country has access to a trained mentor as they transition into adulthood. We believe that facilitating and investing in mentors will help to address the skills gap agenda and improve social cohesion.

The Programmes Administrator will be in charge of supporting young people nationally through their journey, ensuring a fast and effective onboarding process, timely communication, and ongoing support for the mentees. In London, the Programmes Administrator will assist the Regional Manager with on-site activities to recruit/ induct mentees. This role reports to the Head of Delivery.           

PROGRAMME SETUP ACTIVITIES: In London, assisting with online & in-person engagement.

These activities would first be together with the Regional Manager, in time and with increasing confidence, these could be done independently online or in person as required.

●       Liaising with local youth partners, setting up to inform and sign up young people.

●       Liaising with youth partners, to deliver info-sessions for young people.

●       Liaising with youth partners to deliver induction sessions for mentors/ mentees.

MENTEE ENGAGEMENT: Manage fast and effective onboarding for all mentees and ensure timely communication with them directly if O18 or via the Youth Partner for U18s to achieve;

● 75% of mentees coming online to have completed the platform training within 1 month (typically 14 days).

● 50% of mentees who have completed the platform training to have completed the non-mandatory workshop within 3 months.

MENTEE JOURNEY: Deliver a high quality, safe developmental mentoring experience for every mentee

●  Liaise with Youth Partners (for U18s) and more directly with O18s, to guide mentees through sign up and the completion of the online platform training

●    Attend and support facilitation of Mentee Workshops, currently delivered online.

●   Manage monthly check-ins (email/ DMs) for mentees being mentored, applying a review process where the mentor reports disengagement, and work with Regional Managers to appropriately communicate and manage sentiments of mentors and mentees.

●  Ensure relevant surveys are sent at the right time (mostly automated with the 1MM platform), maximize and monitor completion.

●     Liaise with Regional Managers as needed, regarding mentees’ preparation progress.

●    Daily management of Mentee Trackers (spreadsheets), and keeping the CRM up-to-date.

●   In accordance with 1MM safeguarding policies if a mentee is identified as a vulnerable adult to provide additional support and check-in, liaise with 1MM’s Designated Safeguarding Lead.

●   If a safeguarding issue arises to report immediately to line manager and 1MM designated safeguarding lead.

MENTEE COMM’S DISTRIBUTION: Manage mentee contact database and send any list-wide communications

●     Manage ongoing comms distribution to mentees as needed.

●    Support the Comms & Events Officer in preparing the mentee monthly newsletter (The Mentee Roundup) content.

●  Manage contact databases, distribution and guest lists where relevant, and make sure they are accurate and up-to-date.

●    Support development of skill-building sessions.

General Responsibilities: Take responsibility, follow 1MM’s working norms, and collaborate effectively with others.

●   Be proactive and solutions focused. Take ownership of issues while also being willing to take direction on projects and priorities from the Senior Management Team, which may vary from time-to-time.

●  Collaborate effectively with others. Work constructively with colleagues, share lessons learned, and take the time to connect, especially when working in a remote environment.

●    Improve personal competence through continuous professional development.

●   Abide by all organizational policies, codes of conduct and practice, including working to administration and communication protocols and supporting diversity and equality of opportunity in the workplace.

●   Provide oversight and work within the IT framework, including data management of the 1MM platform, using Salesforce for HR, Finance, Contact Management and Program Management, and working from Google Drive within the designated file structure

●    Take direction on projects and priorities from the Head of Delivery, as well as CEO of 1MM on occasion, which may vary from time to time

●     Support diversity and equality of opportunity in the workplace

●     Attend internal 1MM meetings as and when required

Person Competencies

  1. High-quality writing skills for the production of both internal and external documents; and to different audiences

Desirable

  1. Experience in using Brevo (formerly SendinBlue)

  2. Ability to constructively feedback on how the mentee’s user experience can be improved

  3. Knowledge and/or experience of Bitrix CRM

Terms and Conditions:    

This is a full time role offered on a 1-year contract, continuing subject to funding. This is a hybrid role with two days working at home, two days in the office (subject to location and availability of a 1MM office), and one day where it is up to you.

Remuneration and benefits: Salary bracket of £22,000 per annum plus London Weighting (pro rata), up to 6.5% employer pension contribution, 25 days holiday per year.
