Newcastle University is seeking an enthusiastic and highly motivated Accreditation & Data Administrator to join the Business, Planning and Governance Team.

 

You will be responsible for supporting and coordinating the School’s international accreditations, rankings and associated data.

 

You will possess demonstrable experience of working in a busy multifunctional office, ideally in Higher Education. This will include experience of dealing with a wide range of stakeholders, organising and delivering events and you will have excellent time management and prioritisation skills. You will possess excellent organisation and communication skills and be able to demonstrate high levels of accuracy, together with the ability to use initiative and apply judgement. You will have comprehensive knowledge of all Microsoft Office packages, and the ability to learn how to use other systems quickly.

 

This is a full time, fixed term post available for approximately 9 months to cover maternity leave and could be available to existing University colleagues as a secondment.  You should discuss this with your current manager before submitting your application.

The Role

To provide professional support and coordination for the School’s international accreditations and rankings activity.

 

Key Accountabilities

  • To support the operation of the School’s Accreditation and rankings. You will be expected to work flexibly and support the Accreditation & Insights Manager and Data Manager to develop a good working knowledge and understanding of all relevant Accreditation and rankings procedures and processes
  • To support the Accreditation & Insights Manager/Data Manager in fostering strong working relationships with the accrediting bodies, internal and external stakeholders, suppliers, facilitators and Professional Support teams, to ensure the professional delivery of rankings and accreditation activity
  • Liaising directly with the Senior Management Team and Executive Office and relevant PA’s within the University in relation to submissions, panel review visits and related urgent matters
  • To collect and maintain accreditation data, and to ensure that all members of the team have access to accurate and current information at all times
  • Support the financial management of the accreditation budget. This will involve contributing to the budget setting process, monitoring and reporting expenditure through the Accreditation & Insights Manager and in close liaison with the Finance Team. Ensuring that the relevant financial procedures are adhered to in procuring services and goods
  • To establish, review and monitor administrative systems both electronically and paper based to support the Accreditation and rankings functions
  • Responsible for the maintenance of the Accreditation and rankings webpages and SharePoint site, ensuring Accreditation and rankings information is accurate and up to date, liaising with the Marketing Team when appropriate
  • To maintain, collate and update Faculty CV’s and related information for analysis in relation to the accreditation process
  • To prepare layout and format of Accreditation and rankings submissions and proof read documentation prior to the final submission on behalf of the Accreditations & Insights Manager/Data Manager
  • Act as the first point of contact for accreditation panel members and staff, students, alumni and employers for visits (primarily VC’s, PVC’s and Deans of international institutions) to ensure that programmed activities proceed in a timely, cost effective and efficient manner. To lead on the planning and organisation of all travel(predominantly international), accommodation and networking dinners required for panel members during mock and full accreditation visits
  • In the absence of the Accreditation & Insights Manager/Data Manager to receive, screen and prioritise all incoming e-mails and correspondence, providing necessary information to assist with replies, drafting responses especially where prompt action is required, or re-routing those not requiring their attention. To provide support to the Director of Accreditation, Accreditation & Insights Manager and Data Manager with the preparation of reports, letters, and presentations
  • To manage the diaries of relevant staff. To provide a first point of contact for internal and external telephone contacts, enquiries and visitors on behalf of relevant staff. Answering routine and urgent queries by providing information to resolve issues
  • To service appropriate School Committees or steering groups and ensure that all relevant arrangements are made. This includes taking minutes of meetings, preparing agendas and papers, ensuring accreditation development areas are discussed, monitored and actioned
  • You will be included in the School’s reception rota and will be expected to take on a generic health and safety role within the School
  • To carry out other duties, as defined by the Line Manager, which support the successful achievement of Business School vision, strategy and operations

 

The Person

 

Knowledge, Skills and Experience

  • Comprehensive knowledge of Microsoft Office software and Databases
  • Basic understanding of, and the ability to apply, relevant policies and procedures
  • Excellent secretarial/clerical skills
  • Ability to organise and deliver professional, effective and successful events
  • Experience of working in an administrative role supporting senior management, including providing service to committees
  • Experience of dealing with a wide range of stakeholders, including working with colleagues at all levels to progress actions and activities
  • Experience of dealing with confidential information using appropriate level of discretion
  • Flexible attitude to work demands and customers
  • Ability to communicate clearly orally and in writing, with a high level of attention to detail
  • Ability to work on own initiative and as a member of a team
  • Excellent time management and prioritising skills, able to work to a deadline under pressure

Desirable

  • Familiarity with University systems, processes and structures
  • Knowledge of national/ international accreditation processes and rankings, including experience of Professional Body and Triple Accreditation processes 
  • Experience of budget monitoring and reporting
  • Experience of working in UK Higher Education

 

Qualifications

  • Grades A-C in English Language and Mathematics at GCSE (or vocational qualifications or equivalent) plus demonstrable work experience in a relevant role and/or comparable setting
