MAIN PURPOSE:
The ability to maintain administration support to senior managers and colleagues in the teams so as to deliver operational excellence across all of its activities, ensuring the delivery of a high quality, efficient and effective service.
SUMMARY OF RESPONSIBILITIES AND DUTIES:
- To regularly liaise with the Senior Business Support Officer / managers to understand the administrative requirement of the service, responding to changing needs, so as to deliver operational excellence.
- To record accurate information from contacts, enquiries, referrals, and alerts, whatever the means of communication.
- To take accurate safeguarding minutes and attend safeguarding planning meetings in the office and in the community.
- To effectively administer the closure of cases, and raise service requests, liaising with agencies and family members. To send out copies of any written documentation including assessments, reviews, support plans, court documents and other relevant correspondence etc.
- To maintain electronic records on the IT systems ensuring that accurate and appropriate information is available to Managers when required.
- To be responsible for the accurate input of data onto databases including scanning. Assist in the extraction and reporting of information from both computerised and manual systems and provide data cleansing and support to the team to maintain accurate records
- To Ensure skills are developed to be able to appropriately use various IT software systems eg Tell us Once, Liquid Logic, TCES, EMIS, Rio etc
- Maintain a store of stationery, office, equipment, fire equipment, PPE etc
- Participate in individual and team supervision sessions,
- Arrange meetings, including agenda preparation and take minutes and circulate to all parties as required.
- Undertake any other duties commensurate with the level of the post, as required to ensure the efficient and effective running of the Department / Section.
- Accurate and confidential record keeping, liaising with adoptive families and birth parents, undertaking reviews with post adoption social workers and Adoption Service Manger and providing updates around any issues arising from Letterbox contact.
- To maintain the contact service functions for the children, birth families and adopters in their contact arrangements, identifying needs and providing appropriate support and advice.
- To process applications for funding through the Adoption Support Fund.
