Zone Way Ltd is seeking a dynamic and organised Administrative Officer to join our team. As an Administrative Officer, you will play a pivotal role in ensuring the smooth operation of our luxury car rental company. Your responsibilities will encompass a wide range of administrative tasks to support various departments and functions within the organization.
Responsibilities:
- Office Management:
- Oversee the day-to-day operations of the office, ensuring a clean, organized, and professional working environment.
- Manage office supplies and equipment, including procurement, inventory management, and maintenance.
- Coordinate with external vendors for office services such as cleaning, maintenance, and repairs.
- Administrative Support:
- Provide administrative assistance to senior management and other team members as needed, including scheduling appointments, managing calendars, and making travel arrangements.
- Prepare and distribute internal communications, memos, and other documents as required.
- Maintain accurate records and files, both electronic and physical, ensuring confidentiality and compliance with data protection regulations.
- Customer Service:
- Serve as the first point of contact for customer inquiries via phone, email, and in-person visits, providing exceptional service and addressing customer needs promptly and professionally.
- Assist customers with rental inquiries, bookings, and vehicle specifications, ensuring a seamless and enjoyable experience throughout the process.
- Financial Administration:
- Assist with basic financial tasks such as invoicing, processing payments, and reconciling accounts receivable/payable under the guidance of the finance department.
- Monitor and track office expenses, ensuring adherence to budgetary guidelines and identifying opportunities for cost savings.
- Documentation and Compliance:
- Maintain and update company policies, procedures, and manuals as necessary, ensuring alignment with regulatory requirements and industry best practices.
- Assist with compliance-related activities, such as preparing documentation for audits and ensuring adherence to relevant laws and regulations.
- Team Collaboration:
- Collaborate with colleagues across departments to support various projects and initiatives, demonstrating flexibility and a willingness to contribute to team goals.
- Foster a positive and collaborative work environment, promoting effective communication and teamwork among team members.
Requirements:
- Bachelor's degree in business administration, management, or a related field preferred.
- Proven experience in an administrative role, preferably in a corporate or office setting.
- Strong organisational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Attention to detail and accuracy in all work activities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated ability to work independently with minimal supervision and as part of a team.
