Job description

Part-Time Admin Officer 22 hours per week 4 days in the office LE11

Your new role

  • First Point of Contact: Serve as the initial contact for project staff seeking information or data. Also, collaborate with academics, researchers, industrial partners, and students as needed.
  • IT Services Management: Maintain project IT services, including the project website, social media accounts, and secure shared data space. Safeguard files and documentation.
  • Meeting Coordination: Arrange, attend, and support formal meetings. Handle paperwork, take minutes, and manage follow-up correspondence.
  • Liaison and Queries: Communicate with project funders (EPSRC), advisory group members, industrial partners, and end-user groups. Collaborate with internal and external project collaborators.
  • Visitor Hosting: Organise visits by project industrial and academic guests, both national and international, including researchers and NGOs.
  • Documentation and Reports: Contribute to preparing reports and other project-related documents for internal and external assessments.
  • Financial Oversight: Assist the Principal Investigator (PI) with financial transactions, such as processing invoices, purchasing supplies, booking travel, and managing expenses.
  • Attendance and Leave Management: Oversee staff and student attendance, holiday bookings, and related matters (e.g., Leave of Absence, Industrial Secondments).
  • Flexible Support: Be open to assisting with various project needs as requested by the PI. Ensure essential services are maintained consistently, especially during peak academic periods.
  • Policy Compliance: Adhere to relevant policies and procedures.

  • Proficient IT Skills: website maintenance, social media management, and proficiency with Microsoft Office, including Excel for data manipulation.
  • Exhibit professional and confident communication.
  • Interpersonal skills: interacting in a professional manner.
  • High attention to detail.
  • Confidentiality.
  • Flexibility and ability to adapt to changing work environments.
  • The ability to provide meeting services, including note-taking and minutes.
