Part-time, term-time
25 hours per week (8:00 am - 1:00 pm) Monday to Friday during term-time plus 5 extra days to be worked in the school holidays.
We are seeking a skilled and detail-oriented Administrative Assistant to join our team and contribute to the smooth functioning of daily administrative tasks. The ideal candidate will possess strong organisational skills, excellent communication abilities, and proficiency in various administrative duties. The role involves handling general administration tasks, compiling weekly event documentation, liaising with staff members, providing support to the Estates, Catering and School Office teams, and overseeing Lettings administration.
Responsibilities
General Administration:
· Typing and formatting documents as required.
· Responding to emails and telephone inquiries promptly and professionally.
· Responding to parental enquires related to lunch and panini orders, dietary requirements, ParentPay (payment system), MIDAS online system orders queries.
· Maintaining costing spreadsheets to ensure accurate financial records.
· Assist in updating policies and compliance reports on a quarterly basis.
· Photocopying, filing, and scanning documents to ensure a well-organised system.
· Coordinate bookings and requirements for various school activities, including room set up and catering options.
· Providing Reception cover and support during examination days where required.
· Undertake other duties as requested from time to time commensurate with the level of this post.
Lettings Administration:
· Process inquiries and bookings for school facilities from external organisations.
· Coordinate with the Estates team to schedule and oversee Lettings activities.
· Liaise with the Catering team for any catering and dietary requirements for bookings.
· Handle billing and invoicing processes for Lettings, ensuring accuracy and timely processing.
Event Coordination:
· Compile weekly "What's on" event documentation to inform and coordinate teams.
· Liaise with relevant staff members to gather information for upcoming events and activities.
Person Specification
· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Strong organisational and multitasking abilities.
· Excellent written and verbal communication skills.
· Attention to detail and accuracy in data entry.
· Ability to work independently and collaboratively within a team.
· Motivated self-starter with a proactive approach and the ability to use initiative.
