Job description

To provide an efficient and effective support function in respect of service contracts, car parking and general administration duties within the Estates and Facilities department
To provide an administrative service to the Department.
To plan and organise own workload demonstrating good time management skills and ability to multi-task.
To operate the various IT systems within the department to fulfil the role
To ensure all phone calls and queries are dealt with in a professional and timely manner

Key task and responsibilities:
Carry out administrative tasks in respect of service contracts to include raising of requisitions on EROS procurement system.
Ensure all planned maintenance visits have taken place. Take minutes of contract review meetings as and when required.
Receipt all invoices in respect of reactive and planned maintenance on EROS
Assist Contracts Officer with monitoring of expenditure
Call out companies for any breakdowns
Maintain the BRAVO database for contracts
Be fully conversant with ID/Car Parking and access control system and be responsible for issuing of ID badges and car park permits
Run reports on car parking as and when required
