Hours per week: 37 Monday – Sunday, 08:30 - 17:30

Office based role
An Administrative Assistant is required to work in a busy multi-disciplinary team environment. To be part of the new One Front Door service which is the single point of contact for all of Warrington residents needing to access the Intermediate Tier services. The successful applicant will need to be flexible and able to work over a 7 day period within the hours of 8:30 - 17:30 on a rota basis which could include evenings, weekends and Bank Holidays. Responsible for the undertaking of administration tasks within OFD, so that the functions of the work area are progressed efficiently within agreed timescales and according to defined procedures. To complete all appropriate documentation and handle enquiries.
Key responsibilities:
Work flexibly across the opening hours and locations of the One Front Door.
Undertake specific tasks (as directed from time to time by the OFD Team leaders/IMC Tier Service Manager) to ensure that the responsibilities of the Directorate are discharged.
Process all new and prospective Carecall and Telecare service users and maintain the diary for the Carecall Installers.
Work as part of an integrated team providing administrative support duties will include processing referrals, answering phones, typing reports and correspondence, photocopying and filing.
Deal with all enquiries into the team from professionals, people and their families in a professional and empathic manner.
Arrange meetings, safeguarding and other events, effectively and to a high standard. This post will include an element of dealing with highly confidential information and using a high level of discretion.
Respond independently to correspondence and produce complex and confidential reports, and statistical information to a high standard and produce work to strict deadlines.
Prepare agendas and type up notes of meetings connected with the work of the team/department or the job holder’s own specified area of work so that proper and accurate records are maintained, and follow-up action is taken and monitored.
Accurately record and update data monitoring systems to make sure that information is up to date.

Qualifications:
Well educated, with a minimum of GCSEs in English and mathematics (grade C or above). Higher level qualifications are desirable but not essential.
Experience:
Experience working in a busy office environment and can prioritise workload using excellent time management skills.
Experience of the development, management and operation of administration systems.
Experience of data collection and Spreadsheets.
Experience of taking minutes for team meetings.
Experience of working with members of the public.
Minimum of 12 months recent experience in a similar role or context and ideally within a public sector organisation.
Skills & Abilities:
Excellent interpersonal skills, highly motivated and the ability to work well under pressure.
A flexible approach to work combined with the ability to work both independently and as part of a team is essential.
Excellent verbal and written communication skills.
Flexible and able to work over a 7 day period within the hours of 8:30 - 17:30 on a rota basis which could include evenings, weekends and Bank Holidays.
Friendly and approachable with a welcoming and professional manner as you will be communicating with the people that use the services, Families and a wide range of professionals.
Ability to work on own initiative and in a busy environment, with a minimum of supervision.
Strong IT skills including Microsoft packages or equivalent (e.g. G Suite).
