Job Summary
The job involves a range of admin activities supporting the Accounts Department. Good communication skills are essential, as you will be dealing with customers over the phone daily as well as internal office staff and engineers for job information and closures. The successful candidate will be responsible for the efficient processing of card payments, raising the corresponding job in Microsoft D365 and following the customer journey through to completion by creating the invoice once the work is complete.; updating and maintaining Excel spreadsheets and reports with the relevant data on a daily basis. Back-office duties such as filing, archiving and scanning are to be completed regularly in order to ensure that the office is both tidy and effective. A wide knowledge of office-based software and our CRM system is required for which training will be provided.
Duties & Responsibilities
- Contacting customers in order to process payments via credit or debit card
- The efficient invoicing of completed works on our CRM system
- Continual communication via telephone & email to keep customers and colleagues informed
- Capturing of all information required to compile relevant spreadsheets and reports
- Scanning, emailing, filing and archiving of all documents required for the smooth running and efficiency of the Invoicing team
- Assisting our Internal Ops team by providing vital information for their smooth operation
- All works to be carried out compliant with Data Protection rules and regulations
- To carry out any duties reasonably expected within your role and skill set
Key Skills for the Role
- Strong IT skills with key systems used in the business being: Microsoft Office, Microsoft Dynamics 365 and Sage 50 Accounts
- Attention to detail and strong organisation skills required
- Strong communication skills including in person, on the phone and via email
