My client, a construction business based in South Woodham Ferrers is seeking an intelligent, self-motivated and well-organised individual to assist their Facilities Management team in the day-to-day structured and methodical administration of the 'back-office' activities. Previous experience in a facilities management environment would be beneficial but not essential as full training will be provided.
Responsibilities:
- Saving all invoices
- Chasing, checking and ensuring all paperwork in support of invoices is accurate and correct.
- Assisting in creating completion certificates for major works.
- Liaising with accounts for statement of account.
- Issuing invoices to clients for payment.
- Saving and cataloguing of paperwork.
- Weekly chasing of servicing contracts.
- Collating outstanding quotation analysis' & quotation requests.
- Collating and chasing of all open works orders.
- Chasing and recording all call outs.
- Very high attention to detail on chasing minor works.
- Assisting in the preparation of site meeting agendas.
- Maintaining accreditation details of contractors.
- Any ad-hoc duties required
Essential requirements, skills and knowledge:
- Ability to self-motivate and work proactively on own initiative.
- A "can-do" attitude and approach to work.
- Excellent verbal and written communication skills.
- Good IT skills including MS Office applications
- Ability to adapt style and approach dependant on audience.
