32.5 hours a week term time plus 8 days in the holiday.
To work closely with and under the direction of the management team, providing administrative and financial support to the provision. The post also requires an undertaking managing reception duties; this will include answering the telephone, face to face enquiries, and providing relevant information relating to the work of the provision.
DUTIES AND RESPONSIBILITIES
General
• Welcoming parents, children and visitors, handling all requests with tact and diplomacy supporting their needs/wishes wherever appropriate, and ensure enquiries are brought to the attention of the management team where necessary
• Attend, participate and support staff meetings, training session, training days and events as agreed with the management team
• To order stock, materials and resources as and when required, for example all necessary supplies as well as maintaining an up to date inventory of assets
• Send out all correspondence as required, checking with management where necessary
• Receive and process any incoming and outgoing correspondence. Ensuring emails are stored appropriately and deleted when no longer required
• To collect and collate information and quotations as required by the management team
• To undertake an annual archiving process of documentation
• Checking and compiling reports and returns to comply with statutory requirements for example Charities Commission, Companies House returns, OFSTED, audit requirements etc
Finance
To work with the management team and support the Board of Directors to ensure that financial systems are kept updated, and perform administrative tasks relating to finance including:
• Administration of monthly timesheets, including absences and holidays and preparing monthly payroll information for processing by payroll bureau
• Preparing banking and liaison with the bank over account issues
• Processing invoices and sending invoices
• Pursuing outstanding fees and resolving any account queries
• Seek and achieve best value with regard to the procurement of resources and services
Human Resources
• Keep personnel files in good order taking into consideration data protection and matters of confidentiality
• Assist with HR administration including recruitment and induction, as directed by management
• Liaising with the management team regarding general employee administration, including processing regular DBS checks as required
• To maintain the setting’s Single Central Register in line with OFSTED legislation with the support of the management team
