Job Summary
The Administrative & Office Support Coordinator handles important organizational and clericalsupport tasks while acting as a point of contact for employees and vendors. This positionensures that all daily procedures run smoothly.
Duties and Responsibilities:.? Greet and assist visitors upon arrival to the office.? Ensure the reception area is clean, welcoming and presentable.? Manage phone lines: directing, recording and answering messages as required.? Provide executive assistance to senior staff members.? Responsible for ordering business supplies.? Ensure all visitors utilize sign-in security software correctly.? Provide visitor and temporary passes and maintain security log.? Assist in booking meeting rooms.? File, sort and distribute mail and packages.? Maintain adequate inventory of office supplies.? Responsible for ordering select office lunches.? Responsible for outgoing mail.? Organize company documents into updated filing systems.? Support the Facilities Team in implementing Health and Safety policies.? Provide administrative support to ensure efficient operation in the office.Working Conditions:? Open working environment with moderate exposure to noise (business office withcomputers, printers, light traffic, telephone calls).? Ability to sit at a computer terminal for an extended period of time.
Qualifications and Skills:? 1-3 years of reception/office administration experience.? Exercise a high level of confidentiality when dealing with sensitive information.? Highly organized and able to manage multiple tasks and projects simultaneously.? Able to work well under pressure and respond to fast changing priorities and deadlines.? Excellent verbal and written communication skills.? Strong interpersonal relationship building skills.? High accuracy and meticulous attention to detail.? Able to work well under pressure and respond to fast changing priorities and deadlines.? A strong team-player with the ability to engage with all levels of the organization.? Technical competence using software programs, including, but not limited to, GoogleSuite for business (Sheets, Docs, Slides).? Entrepreneurial mindset and comfortable in a flat organization.
Education:? High school diploma or equivalent experience required.
