We are currently seeking a compassionate and dedicated School Admissions and Attendance Officer to join our Administration team on a permanent basis. As the School Admissions and Attendance Officer, you will be monitoring and reporting on whole-school attendance data, analysing data to identify key areas of concern. and working closely with pupils, staff, parents and carers to reduce levels of absence, and act appropriately when persistent absence becomes a safeguarding issue.
You will also be the main point of contact for all school admissions. This will include maintaining the school’s admissions consultation database by liaising with parents, agencies and third parties throughout the process, gathering all of the relevant documents required from the families and answering all queries and requests from prospective families.
You will need to have had previous experience of working within a busy office. You will be working on the main desk and will be the first point of contact in person and on the telephone for all staff, parents and visitors to the school, you will also be responsible for the day-to-day management of processes such as admissions, attendance, monitoring and producing reports and spreadsheets, handling data and completing data returns for the school, Hampshire County Council and the Department for Education. The ability to be proactive and prioritise the tasks is an essential skill in carrying out this role. Part of the role will also include administering first aid to children.
Attendance
- Ensure daily attendance registers are accurate and complete, and follow up with staff members about any incomplete data
- Follow up on any unexplained absences with parents/carers, escalating issues as appropriate in line with school procedures Initiate and oversee the administration of absence procedures, for example letters home, attendance clinics and engagement with local authorities/other external agencies and partners
- Manage attendance returns for the school census
- Manage the process of issuing penalty notices to parents
- Maintain accurate records of communications with parents/carers and relevant interventions
- Build and refresh knowledge of the school’s MIS and other relevant systems
Admissions
- Supporting the admissions process for the whole school.
- Ensuring pupil records are accurate, create/update records and record admission outcomes.
- Contacting parents and school staff by telephone, email and letter on all aspects concerning school admissions.
- Deliver the casual admissions process across the school, including waiting lists.
- Must be willing to complete an enhanced DBS.
As a School Admissions & Attendance Officer you will need to possess excellent interpersonal skills, can deal with tasks simultaneously and be able to follow the school’s processes and procedures. You will be a confident and aspirational individual who must be at ease working within a busy team.
