Reid Brewin Architects (RBA) is looking for a Bookkeeper and Office Administratorto join their creative and growing international team due to an expanding workload.

The role
We are looking for a Bookkeeper and Office Administrator, ideally French speaker,to oversee the efficient day-to-day organisation of the London studio, with a particular focus on bookkeeping and financial activities. This is a varied role that would suit a proactive and highly organised individual. The ability to work autonomously, with great attention to detail, is essential.
As part of RBA Group, there will be the expectation to work flexibly across various areas of the practice (Italian, French and Spanish studios) as and when required.
Outline description of the job requirements
Accounts (60%)
This role involves working closely with the UK Director and the Operations Manager to undertake bookkeeping and purchase ledger activities for our London studio including processing invoices, liaising with creditors and suppliers, and completing the monthly pay run. You will be assisting the wider business with financial reports including P&L and cash flow.
In addition, you will be involved with project finances such as fee estimates, budget tracking and invoicing via our Project management Software Rapport 3.
Key requirements: the successful candidate will have at least 3 years demonstrated experience in a Purchase Ledger role and be able to investigate queries and resolve issues.
Human Resources (20%)
You will be working alongside the UK accountant on payroll matters and will be managing our HR records in Bright HR and Rapport 3. The role also involves coordinating CPDs, assisting with onboarding staff and monitoring staff reviews. You will be coordinating H&S, ensure all policies are up to date and more generally support the organisation and directors with HR related matters in the UK.
Administrative support (20%)
As a Studio Assistant you will be an active member of the team, positively contributing to the studio through a range of day-to-day administrative responsibilities: providing PA support to the directors, maintaining a well-organised studio environment, answering the phone, receiving and distributing post and deliveries, helping staff with administrative queries. You will support the development and implementation of office and administrative systems, such as record management, data management and filing. You will contribute to the coordination of Quality Insurance for the UK office and oversee ISO Audits and file maintenance.
Required skills and experience
- Fluent in English. Working knowledge of French would be advantageous
- A minimum of 3 years purchase ledger experience is required for this role
- Strong Excel skills and good MS Word skills are essential
- Experience of Xero or another accounting software is highly desirable
- Experience in an architectural practice or design environment would be advantageous
- Full understanding of best practices
