Job Title: Bookkeeper/Office Administrator
Location: Cardiff
Salary: £27,500
Employment Status: 37.5 hours / permanent
Job Summary:
Due to our continued success and ever-growing customer base, Techsol Group are seeking a detail-oriented and organised Bookkeeper/Office Administrator to join our team in Cardiff. The successful candidate will be responsible for maintaining accurate financial records, performing bookkeeping tasks, and providing administrative support to ensure the smooth operation of our office by providing financial/administrative support to various departments, and ensuring the efficient functioning of day-to-day activities.
The ideal candidate will have excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving.
Key Responsibilities:
Bookkeeping:
- Maintain accurate and up-to-date financial records using accounting software.
- Process accounts payable and accounts receivable transactions.
- Reconcile bank statements and credit card transactions.
- Reconcile supplier accounts
- Assist with stock control
Financial Administration:
- Assist with invoicing and billing activities.
- Monitor cash flow and prepare cash flow forecasts.
- Maintain and update office records, databases, and filing systems in a timely and organised manner.
- Track expenses and ensure adherence to the budget.
- Assist with financial audits and provide supporting documentation as needed.
Office Administration:
- Answer phones, greet visitors, and respond to inquiries in a professional manner.
- Order office supplies, equipment, and materials as necessary, ensuring adequate stock levels are maintained.
- Making hotel/travel arrangements and social events for employees.
- Maintain organised filing systems for both electronic and paper documents.
- Liaise with building management, vendors, and service providers to address maintenance issues and ensure timely resolution.
- Assist with special projects, research tasks, and other administrative tasks as assigned.
- Uphold company policies, procedures, and standards of professionalism in all interactions and activities.
Personal competencies
- Proven experience as a bookkeeper or office administrator, preferably in a medium-sized business environment.
- Proficiency in any accounting software (Sage an advantage) and Microsoft Office Suite (Word, Excel, Outlook).
- Strong knowledge of accounting principles and practices.
- Excellent attention to detail and accuracy in data entry and record-keeping.
- Ability to prioritise tasks and manage time effectively in a fast-paced environment.
- Excellent communication and interpersonal skills.
- A proactive and resourceful approach to problem-solving.
- A high degree of confidentiality and integrity in handling sensitive financial information.
- Relevant certification (e.g., Certified Bookkeeper) or recognised qualification in accounting or related field is an advantage although not essential.
