Norfolk and Suffolk NHS Foundation Trust provides child and adult mental health services, learning disability, wellbeing, older people's and eating disorder services across Norfolk and Suffolk.

Job overview

We have an exciting opportunity to recruit a Level 3 Business Administration Apprentice, to join our friendly Business Support Team within the Central Youth Team, at Norfolk and Suffolk NHS Foundation Trust.

This post will require the successful candidate to complete a Level 3 Diploma in Business Administration which is supported by Poultec Training Specialists. The diploma is made up of 8 units and you will be able to gain experience in our workplace to support the units under the apprenticeship programme. This is an ideal opportunity for a school/college leaver or someone looking to start their administrative career within the NHS, whilst gaining a recognised qualification.

The Business Support Team is responsible for the provision of all aspects of administrative support to our service users, their families, and colleagues within the team and across all elements of our service. The role will include working closely with Business Support staff to gain experience, skills and knowledge of all tasks carried out within the clinical support, referral management and reception roles.

The post will also have direct contact with service users and their families, face to face as well as over the telephone, therefore applicants must be aware working within our service you will be exposed to information that can be of a distressing or upsetting nature.

Main duties of the job

The successful candidate will gain and develop key skills and experience, offering a rare and varied insight into many different elements of administrative work within a busy office environment. Skills, knowledge and experience gained will support the postholder in their application for obtaining a substantive administrative role within our Trust or which are equally transferrable to external companies or organisations.

The post is an 18-month placement working across a 37.5 hour week Monday to Friday which includes 1 day per week for attendance at virtual workshops/study time.

Main duties of the job

(Duties will include, but are not limited to):

  • Processing/logging of maintenance/IT requests
  • Managing stationery supplies and generating orders via the Trust’s electronic system
  • Assist in the circulation of information
  • Filing information on both electronic and paper files
  • Assist organising and booking meetings/events
  • General administrative duties (post/photocopying/scanning)
  • Support Reception (greeting visitors/young service users and their families)
  • Take telephone enquiries from parents/carers/service users/professionals)
  • Processing Referrals/Appointments using an e-referral system
  • Update patient electronic records

Detailed job description and main responsibilities

As a busy service we have a responsibility to not only our clinical colleagues but also the patients that are accessing our service. We therefore work positively to make sure we provide a high level of customer service. This role will include interaction and communication with a wide scope of people including service users, medical and health care professionals. We are the first point of contact with the Trust, so we are looking for someone who can demonstrate they understand how good communication and customer service is essential.

You will work as part of a busy team and working together is an essential part of the ethos that drives us. This is a busy role with varying demands, so building an effective rapport with colleagues and being ready to take their guidance and offer your support will be really important.

This update service is an annual subscription at a cost of £13 to you. This will enable the Trust to have instant online access to your DBS record, with your consent, and so will remove the need for you to have to apply for this repeat check again.
