EASL Business Manager
Hours: 15 – 24 hours per week
Workplace: Near Hitchin (2 -4 days per week) with hybrid working; occasional days in London
Salary: Range: Band 6 £42,471 - £50,364 pro rata depending on experience

About EASL
EASL, Enabling Assessment Service London, is an innovative mental health service, established in 2012, in response to the challenges experienced by homeless people with mental health issues in accessing assessment and on-going support. EASL works through contracts with other agencies, and through direct funding from statutory authorities, supporting homeless people across London and the agencies that work with them.
The EASL team is multi-disciplinary and staff carry out expert mental health assessments in a way that reflects the situation of homeless people in London. We also deliver training and support to improve our partners’ understanding and abilities to work with multiple exclusion homelessness
EASL is a non-profit making "Community Interest Company", all staff pay is linked to NHS bandings.

About the role
We are looking to hire someone to work as an essential part of our small dynamic office team. Reporting to the Executive Director, this role will be important in supporting the seamless functioning of EASL. Areas of focus include accounts payable and receivable, budgeting and monthly reporting, contracts, activity monitoring as well as providing wide-ranging operational support across a number of different areas including legal, HR and IT. You will help to develop new policies and manage and streamlining our processes and procedures.
Key responsibilities will include:
Financial Administration (30%)
- EASL uses Xero accounting software
- Accounts Payable: Collate, process & pay all invoices in a timely manner and manage the Company’s bank accounts
- Accounts Receivable: Submit invoices for all work delivered, including ad hoc work as well as delivery under contact, ensuring all details and records required are kept up to date
- Ensure all income received is properly reconciled against relevant invoices. Expenses Reporting: Ensure timely submission of employee expenses and debit and credit card transactions
- Review financial transactions monthly to ensure income and expenditure are recorded correctly. Follow up on any outstanding unpaid invoices.
- Provide monthly reporting to senior managers and quarterly to directors.
- Ensure accounts are up to date and liaise with accountants regarding preparation of annual UK accounts up to trial balance, incl. accruals, prepayments, etc
- Annual review and preparation of a new expenditure budget for the following financial year, taking into account any pay review, increased or new expenses
- Support the preparation of the Directors Report for the annual accounts
- Supporting senior management to make real-time financial decisions, by providing accurate information and engaging in discussions around costs
Contracts Management (30%) (Contracts and Monitoring)
- Using EASL’s activity recording system, collate and provide, in a timely manner, quarterly monitoring reports of activity against contract target for all contracts, and maintain clear records
- Support directors to create proposals and tender applications for contracts.
- Develop and maintain relationships with a range of internal and external stakeholders
- Have an understanding of EASL values and approach (reflecting the social goals of the organisation) sufficient for this to be incorporated into discussions and communications relating to contracts.
- Maintain clear records and details of each contract.
Operational Support (40%)
- Support the process of recruiting and inducting new employees
- Ensure all HR records are kept up to date, including DBS and professional registration checks
- Support provision of IT and equipment for the team as needed.
- Support operational colleagues with IT and activity recording issues
- Ensure filing systems are kept up to date and in order
- Lead design, implementation, evaluation and compliance of administrative systems & processes
- Maintain and keep record of insurances, software licences, IT hardware etc.
- Keep staff updated on procedures, including by participating in team meetings
- Help strengthen and review EASL’s policies
- Ensure EASL website kept up to date
- Lead day-to-day office and virtual procedures, e.g. room bookings & online meeting spaces, diary management and minute taking.
About you
Our successful candidate will
- Have numeracy skills, a solid knowledge of accounting principles and experience in a similar role.
- Be aligned to EASL’s values, and be committed to social justice, equity, and inclusion
- Have an interest in the nature and challenge of EASL’s work and be able, over time, to develop a broad understanding of the sector and context
- Be confident, well organised and have good problem-solving skills.
- Have experience of office administration
- Have excellent MS Office skills, proficiency in Windows apps as well as proven experience with accounting software (e.g. Xero)
- Have the ability to work collaboratively in a small team, responding flexibly to changing demands of the role
It would be helpful if
- You have experience of managing tender processes and generating income from statutory funders
- Have experience of liaising with multiple & varied stakeholders
- Relevant degree/qualification in social sciences, finance management, business administration or similar
