Job description

My client well-established Midlands business in the management and delivery of commercial projects to our key clients. Due to our success and dedication to our clients, the business is growing, workloads are increasing. This new role is being introduced to the Company as a direct result of this success and part of a small re-structure to ensure long term growth. 

Purpose: To provide a comprehensive, proactive and flexible administrative and technical support service within the Company

Job: Business Support Administrator 

Duties: 

  • Collation and Production of Operations and Maintenance Manuals (OMM). Requesting and tracking the submission of test certificates and data sheets from contractors.  Producing the OMM ready for project Practical Completion (PC) date.
  • Raising of Purchase Orders based on Contract Managers instructions, sending out to sub-contractors.  Sourcing Site Managers requirements and ensuring that they are ordered and delivered in accordance with agreed timescales. Booking accommodation and arranging hire equipment. Assisting in site set up co-ordination and arranging transport of items to/from warehouse
  • Assisting in the administration of the Quality Management System (ISO 9001), maintaining audit schedule and action lists. Assisting in the implementation and administration of ISO standards 45001 and 27001 as well as assisting in the re-accreditation of 14001 and the other Company accreditations ie SafeContractor, CHaS, Constructionline.

General

  • Welcome visitors by greeting them in person and on the telephone, helping with any enquiries that may arise and directing calls to correct departments.
  • Help maintain security procedures, monitoring visitors list.
  • Ad hoc office tasks to be carried out daily i.e. loading and unloading dish washer and ensuring office has tea / coffee supplies.
  • Order and monitor office stationery.
  • Organising bookings for meetings / arranging lunches
  • Manage maintenance requirements of the building.
  • Holiday forms & booking / obtaining approval, flagging up any potential departmental clashes / resource issues.

Experience 

Good working knowledge of Outlook, Word, Excel and other Microsoft packages.

Knowledge of a Sage Accounting package desirable but not essential as full training can be given.

Must be highly focused on quality, achieving timescales and presentation.
