Key Accountabilities:
Office & facilities support:
- Welcome visitors, answer calls to main office, receive and distribute mail (daily)
- Ordering and maintaining stationery stocks including printer paper/toner (weekly)
- Ordering and maintaining stocks of refreshments (tea, coffee, milk/alternatives and sundries for the kitchen area and meetings (for staff and visitors) taking account of visitor numbers (weekly)
- Liaise with external cleaners re. visitors and special cleaning requirements outside of regular contract arrangements(as required)
- Monitoring off-site storage and keeping records (initial storage audit required)
- Support administration and communications with utilities & IT suppliers (as required)
- Organise and coordinate administration for staff events, including monthly company round up and off-site events
Finance & Purchasing support:
- Supporting the finance function with entering invoice and data onto the software package (Xero)
- Monitor the Finance inbox and to pass queries that require action to Management Accountant
- Adhoc tasks/projects for the finance team from time to time and full training and direction will be given, e.g. data analysis.
- Providing cover and assistance for the procurement department as required.
HR Support (with guidance of external HR Consultant and Group Financial Controller)
- Be the first point of contact for managers and employees for people related questions, processes, systems, and issues
- Coordinating all HR activities (from induction to off boarding)
- Maintain accurate up-to-date employee records using HRIS ensuring they meet legal requirements and provide HR data, reports and analysis for leadership as required
Candidate Requirements including personal qualities and attributes:
- Effective literacy and numeracy skills
- Good knowledge of MS 365/Excel/Word/Teams and commercial software packages (Xero an advantage)
- Highly effective communication and influencing skills
- Well-organised and tenacious to follow tasks through to completion
- Confidential and calm approach, and able to use discretion
- High level of accuracy and attention to detail.
