Job description

The post holder will lead and develop an administration support function that is efficient and effective to the needs and demands of a changing service. Responsible for succession planning for directly managed staff, developing ongoing plans for growing talent, retaining staff and attracting candidates of high calibre to the team when vacancies occur.
Be responsible for the ongoing implementation of the Occupational Health IT platform OPAS G2, liaising with the provider to resolve issues and further build on the current capability of the system. Also the training of internal staff on any updates and communicating out service changes to BCUHB managers, HR colleagues and staff.
Promote and build positive relationships within the Administration Team, Health and Safety Team, HR, managers and BCUHB Employees.
Manage the setup, progress and measurement of processes, Service Level Agreements and Key Performance Indicators for the work streams within Organisational Development.
Responsible for the creation and maintenance of performance reports in line with the service specifications. Responsible for investigating the root cause of performance failure, define and implement changes that will address the issues and prevent re-occurrence.
This position supports working across BCUHB sites.

Ensure a positive, professional and supportive working environment is maintained within the Administration Team. Manage the team members so that all feel valued and understand their contribution to the success of the team.
Provide direct administrative support to the Head of Occupational Health and the Senior Leadership Team.
Provide management support to the OH Administration Officers in relation to the various functions.
Lead the Administration Team to reflect a proactive ‘can do’ attitude in providing a high quality, effective and efficient administration across the Occupational Health Service.
Promote positive team relationships to ensure effective collaborative team working within and across BCUHB.
Manage difficult and complex situations, such as conflict in working relationships and competing demands for time and resources within the Administration Team.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
