A leading contractor based in Belfast wishes to appoint an Administrator to join the Buying Department.
Working closely with the Senior Administrator too provide fully comprehensive administrative support for the Procurement Department, key responsibilities include:
- Inputting purchase orders onto the purchasing system.
- Ensuring invoices for payments are cleared e.g. matching invoices in line with delivery dockets.
- Liaising with supplier's and site management ensuring accurate and timely information is supplied in relation to delivery dates, times and any outstanding information such as delivery dockets.
- Ensure the supplier database is maintained with real time information.
- Issue and receipt of supplier questionnaires ensuring they meet the specified criteria.
- Issuing purchase orders for core products on the departments pre-agreed rates.
- Uploading and maintaining all supplier documentation.
- Fillng and general administrative duties for the department.
- Reception cover as and when required.
- Creating and maintaining good working relationships with colleagues, suppliers and any other relevant stakeholders.
- Maintain Quality and Environmental control procedures in accordance with ISO 9001 and ISO 45001.
- Be aware and comply with the Company's Health & Safety Policy.
- Undertake all relevant training and development activities as required.
Essential Criteria:
- 3 years' relevant administration experience
- Working to tight deadlines
- 5 GCSE's including Maths/ English or equivalent
- Ability to create and maintain good working relationships
- Excellent organisational skills
- Proven trouble shooting skills
- Excellent written and oral skills
- Good working knowledge of Microsoft Office Packages
- Excellent attention to detail
- Good communication skills
- Ability to work effectively as part of a team and independently
- Eligibility to work within the UK
Desirable Criteria:
- Previous administrative experience within a buying/ accounts department
- Knowledge of Gateway software
