CAFM Systems Manager
Location: Birmingham - Hybrid

Role Overview:
Reporting to the Commercial Manager, the CAFM Systems Manager will oversee the management, administration, and operation of the Computer Aided Facilities Management (CAFM) system, specifically Ostara. The role involves ensuring the system is up to date, resolving issues, and liaising with internal and external stakeholders to implement processes effectively. Key responsibilities include:
- Monitoring incoming work requests and ensuring Service Level Agreements (SLAs) are met.
- Reviewing and organising work orders, ensuring accurate distribution and detailed information for efficient resolution.
- Maintaining up-to-date workload, planning, and scheduling on the CAFM system.
- Providing system support activities including updating asset registers, linking health and safety information, and managing user access.
- Addressing system issues and contributing to ongoing development and improvement.
- Serving as the main point of contact for Ostara CAFM Support.
- Generating reports for leadership teams on workload status and performance measures.
- Contributing to departmental initiatives to improve productivity and methods.
- Supporting training activities for users and contractors on CAFM system usage.
- Assisting in cost estimation and purchase order processing for various works.
Requirements:
- Strong experience in a similar role within facilities management or related field.
- Ideally, previous experience with Ostara or similar CAFM systems.
- Technical proficiency to recommend upgrades and fixes, with a focus on continuous improvement.
- Excellent communication skills to promote system functionalities and influence user activities.
- Project management experience with a continuous improvement mindset.
- Advanced Excel skills for generating user-friendly reports.
- Proactive approach to learning and development.
- Knowledge of health and safety regulations such as H&S, COSHH, and Permit to Work Regulations.
