Our client is a long-established set of family law barristers based in Central London. Chambers now seek a Chambers Administrator to deal with all aspects of Chambers administration, to include compliance, pupillage applications, and contractual agreements. The successful candidate will be working closely with the Clerks and Marketing Department.
CHAMBERS ADMIN LEAD ROLE
- To be responsible for data cleansing of the database
Annual – make sure that advanced deleted
Ad Hoc- liaise with the clerks to archive emails
Monitoring regularly – also that clerks themselves are clearing emails
Oversight of clerks GDPR
- Deliver inductions for new members, pupils and staff in respect of chambers manuals and procedures, constitution, housekeeping, financial information etc relevant to their role.
Regulatory compliance
- To ensure Chambers’ operates within the code of conduct of the BSB and ensure compliance with Bar Council requirements.
- To keep up to date with BSB requirements.
- Ensuring individual members remain compliant at all times in respect of BMIF, practising certificates, CPD and data protection.
- Regulatory audits and checks.
STAFF
- Liaise with HR to ensure reviews and implementation carried out
- To monitor and track staff holidays/leave
- Directly line manage the marketing team
- Advising on staffing requirements
- Liaising with the Senior Clerk about suppliers.
- Organising recruitment when required
- Liaising with HR and/or accountants about pensions/salaries
POLICY REQUIREMENTS
- Ensure chambers insurance policies and certificates are current, compliance and complaints procedure is up to date
- Liaising with HR
GDPR
- To ensure Chambers’ compliance with GDPR including responding to SAR requests when required etc
- Amend policies in line with recommendations
- Chase members about GDPR
PUPILLAGE
- AETO renewal (if required)
- Regulatory requirement regarding pupillage – handbook up to date – training for supervisors
- Ensure compliance with change of supervisor, competency sign offs etc), Handbook and updates, pupillage agreement letters, instructions to accountants.
- Supporting head of pupillage in respect of pupil recruitment – adverts on gateway applications download- distribution of applications for marking
BUILDING
- Dealing with any issues concerning the building infrastructure, procurement of equipment,
- Liaising and monitoring with the clerks about IT requirements.
- Health and Safety, maintaining fire policy and procedures, first aid training, fire extinguisher training, ensuring appropriate signage throughout chambers.
- Lease management and rent review
BUSINESS PLAN/MARKETING PLAN
- Liaise and coordinate with Practice Managers and Senior Clerk re: business plan and monitor progress and report to Management Committee (MC)
- Liaise with the marketing team and plan and monitor progress and report to MC
- Reviewing and maintaining chambers’ business continuity and disaster recovery plan
