Job description

To provide administrative support to the Wiltshire Children in Care Team and to maintain the electronic child health information system.

Duties will include administration of the Children in Care pathway, liaising with the Local Authority and other professionals/agencies. always Working with utmost confidentiality

Main ResponsibilitiesThis list is intended to summarise the key responsibilities and is not intended to cover every task that may be required of the role: -


To provide administrative support to the Children in Care Team.
To process Initial Health Assessments and Review Health Assessments within the specified timeframes.
To administer the pathway for Asylum seekers and arrange interpreter services where necessary.
To administer the Adoptive Children’s pathway and process data within timeframes.
To administer the Service Level Agreement process and track progression.
To update the clinical database and track progression.
To receive all Early Health Common Assessment Framework (CAF) documentation, perform initial quality checks and record on the child health system prior to submitting to Wiltshire Council CAF Co-ordination Team as per local procedures.
To ensure confidentiality is always maintained, as dealing with sensitive information.
To ensure data entry of a high standard takes place across all work tasks to allow for accurate organisational and statutory reporting on a monthly, quarterly, and annual basis and any child health system anomalies are escalated to the Team Leader as a priority.
To raise Purchase Orders for goods requested, using the in-house system, and receipting goods received.
To support the change or development of any new or additional Children in Care processes.
To liaise and communicate with associated healthcare professionals and other agencies across the County to provide consistent and efficient communication in a professional and timely manner.
To manage own workload effectively without constant supervision and to undertake tasks as delegated.
To manage maintain up-to-date knowledge required to carry out the role and to undertake statutory and mandatory and other training as may be identified.

The Ideal CandidateEssential


NVQ Level 3 in Administration or equivalent knowledge and experience.
GSCE English and Math Grade C or above (or equivalent).
Significant experience or working in NHS or Social Care administration.
Significant experience and a high quality in performing data entry tasks on a client/patient database.
Demonstrable effective maintenance of electronic filing systems.
Practical experience working with Data Protection and Caldicott principle.
Competency in use of Microsoft Office, use of Word and Outlook for confidential communications.
Ability to follow procedures across all areas of child health service provision.
A high standard of written and oral communication skills requiring tact, diplomacy, accuracy, and attention to detail.
The ability to prioritise and plan own workload against immediate and medium-term priorities.
The ability to manage conflicting priorities and to escalate any work pressures to line manager.
The ability to escalate concerns in an appropriate and timely manner to the relevant senior staff member.
Able to use own initiative and involve others as necessary to ensure quality of service maintained.
The ability to work efficiently and effectively under pressure without constant supervision.
To appreciate patient centred care.
Ability to communicate with multi-disciplinary professionals and staff incorporating diplomacy and absolute discretion.
To be an effective and supportive team player
Ability to manage potentially distressing information.


Desirable


Recent practical experience working within a busy administration environment.
Familiarity with Local Authority processes.
The ability to pro-actively contribute to procedure reviews
