Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. As a Secretary, you will play a crucial role in ensuring the smooth operation of our office by providing administrative and clerical support. The ideal candidate will have excellent phone etiquette, strong typing skills, and proficiency in computerized systems such as QuickBooks and Google Suite. Duties:
- Answering phone calls and directing them to the appropriate person or department
- Greeting visitors and providing them with assistance
- Typing and formatting documents, reports, and correspondence
- Managing calendars and scheduling appointments
- Organizing and maintaining physical and electronic files
- Assisting with data entry tasks
- Coordinating travel arrangements for staff members
- Ordering office supplies and maintaining inventory levels
- Assisting with basic bookkeeping tasks using QuickBooks
Experience:
- Previous experience in an administrative or secretarial role is preferred
- Proficiency in computerized systems such as QuickBooks and Google Suite
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and accuracy in all work performed
- Ability to maintain confidentiality of sensitive information
