Job description
We are seeking a dedicated Contracts Administrator to join our client on a temporary basis for 12 weeks. The successful candidate will be a key point of contact for external contractors, leading regular meetings, addressing queries, feedback, and invoices. This role involves providing administrative support, liaising with trade teams, raising jobs, purchase orders, and processing invoices, ensuring high-quality services with a customer-focused ethos.Day to Day of the Role:- Act as a dedicated liaison for contractors, ensuring effective communication and resolution of queries.
- Responsible for raising works orders, purchase orders, and facilitating the approval of invoices to ensure timely payments to subcontractors.
- Monitor spend for compliance with procurement and report any anomalies to management.
- Convert job requests into repair orders and release held jobs after verifying accuracy.
- Proactively monitor open works orders and chase contractors for invoices, varying and completing orders as needed.
- Address customer queries related to contractor works and attend meetings to provide information on contract administration.
- Monitor invoices awaiting payment to meet obligations, raising any queries or issues with relevant parties.
- Maintain detailed records of maintenance information, certificates, timesheets, and related documentation.
- Undertake additional duties as required, in line with the role.
Required Skills & Qualifications:- Proficiency in data entry
- Excellent verbal and written communication skills, capable of engaging with residents, contractors, and colleagues at all levels.
- Team player with a willingness to support colleagues and share ideas.
- Good working knowledge of Microsoft Office packages, including Outlook, Word, and Excel.
- Open to personal development and improvement.
- Understanding of regulatory and mandatory obligations related to housing maintenance.
- Innovative problem-solving skills with strong negotiation and influencing abilities.
- Ability to work under pressure and prioritise workloads to deliver an efficient service.
