Job description

Seven Resourcing are currently seeking an Information Assistant to work within Conwy County Council. This is a full time role, paying GBP15 p/h.

Job Purpose:

To provide a comprehensive and efficient first point of contact for residents and visitors accessing council services via telephone, in person, at the Council's main office, Coed Pella, as well as remotely and digitally.

To work as a member of a multi-skilled team of assistants to identify customer needs and provide a high quality information service in response to Council enquiries and ensuring excellent customer care as a principal part of service delivery.

Duties and Responsibilities

To be the first point of contact for all visitors to the Council's main office, Coed Pella. To welcome each visitor or contractor and to follow appropriate signing in procedures whether manual or electronic, issuing of visitor passes when required. Informing the appropriate service / meeting organiser of the visitor's arrival.

To handle a high volume of in-person enquiries and phone calls for CCBC services.

Make decisions on a daily basis to inform customers about council support and assistance available, working within established guidelines prepared by individual services. , such as the Council's Knowledge Hub. To ensure these resources are kept up-to-date, making amendments and updates where necessary.

To manage enquiries efficiently and sensitively by providing an accurate information and assistance service to enable enquiry resolution at first point of contact, either in person, telephone or remotely. Encouraging customers to use of a range of online services and providing support with the self-service computers if required.

To assist with health & safety tasks as directed and maintain reception areas to an excellent standard and to ensure that any publications displayed are appropriate, well stocked and up-to-date, reporting any issues of concern in a timely manner.

To maintain and promote a positive image of the authority with all contacts.

To ensure that deliveries which are left at the reception area are checked, recorded and the Post Room or relevant service is duly notified.

To notify Facilities Management of any maintenance issues, or safety concerns in Reception or the public facing areas of the building.

To refer enquiries to services as detailed in the Service Level Agreement.

To update appropriate IT systems in order to record and maintain an electronic record of customer details and their service requests, where applicable, and directing enquiries to relevant officers, including Housing and Regulatory duty officers and social workers. Ensuring that confidentiality is maintained at all times.
