The role
As a Deputy Business Coordinator, you'll have a role that's out of the ordinary. Programme HADES is the Technical Support Services Provision contract spread across fourteen RAF stations throughout the UK. This could be your opportunity to join a dynamic and flexible team working in the Management and Administration team, helping deliver a contracted output for RAF Valley and the wider Ministry of Defence.
Day to day, you'll conduct transport administration tasks as directed by the Business Coordinator in conjunction with the Transport Manager, as well as:
  • Arrange all Babcock mandated training, with line manager support and monitoring to ensure completion.
  • Compile all overtime, allowances/entitlements into the monthly overtime sheet, ensuring deadlines are met.
  • Process expenses for employees, ensuring expense policy is adhered to. Send Fit Notes and Return to Works to HR and certifying that all risk and assessments are completed and reviewed.
  • Organise bookings for the meeting rooms. And assist Section Heads with admin including recruitment, onboarding, day to day tasks as required and any staff changes.
  • Raise purchase orders, processing any other methods of payment and all related documentation and monitoring paperwork of extra costings to contract taskings.

This role is full time and based onsite at RAF Valley.
Essential experience of the Deputy Business Coordinator:
  • Proven experience and knowledge of GDPR legislation, experience and integrity in handling confidential data and information
  • An intermediate to advanced knowledge of Excel, including the use of formulae and formatting. including accounting spreadsheeting, finance and payroll calculations.
  • Competent at using Microsoft Office packages. To include monitoring invoicing, ensuring payments are punctual.
  • Experience of personnel management and excellent communication skills

Qualifications for the Deputy Business Coordinator:
  • 5 A-C GCSEs including Maths and English

The successful candidate must be able to achieve the minimum of a BPSS security clearance for this role.
