Job description

Purpose of the Role

The Deputy Centre Manager is to assist the Centre Director to ensure the overall smooth running of the centre, whilst maintaining a safe and pleasant environment for our customers through the monitoring of Health & Safety systems and the promotion of best practice throughout all tasks.

Relationships

  • Reports to: Centre Director
  • Responsible for: Health and Safety, management and training of the on-site staff, M&E, Soft service management and Budget preparation and delivery.

Key Responsibilities

Supporting the Centre Director allowing him/her to concentrate on ‘running the business’, increasing their integration with Tenants, increased Local Authority and Local Business liaison, driving Asset Value and increased Business Planning to drive productivity, efficiencies and profitability for the benefit of all Stakeholders.

  1. Manage, market and operate the Centre to the very highest of professional standards.
  2. Develop strong relationships with all Tenants.
  3. Maximise retail sales opportunities for Tenants.
  4. Develop, create and manage the on-site budgets, delivering a sustainable service.
  5. Manage all Health and Safety on site.
  6. Adhere to all key performance indicators as set out in the Management Agreement between the owner and Savills.
  7. Be a ‘face’ of the Centre within the local community and to develop strong community links.
  8. Ensure that the Centre is maintained to an excellent standard and contractors are carrying out their work to an appropriate standard.
  9. Ensure that those working on site are carrying out work in a safe manner.
  10. Lead by example.
  11. Assist the Management team to achieve the objectives as specified in the Centres business plan. Develop excellent lines of communication with all fellow Management staff, the retailers, contractors and customers and the owner of the Centre.
  12. Motivate the Centre’s retailers.
  13. Attend tenants meetings with minutes of the meeting to be distributed to each staff member and Savills Asset Management Surveyor.
  14. In liaison with the Centre Director & Asset Manager, ordering the necessary maintenance works at the centre, ensuring the budget is adhered to.
  15. Authorise and check coding of invoices within agreed timescales.
  16. Assist with the day to day management of the car parks ensuring accurate recording of income data, usage and maintenance requirements.

Skills, Knowledge and Experience

Staff Training and Development

In liaison with the Managing Agent & Centre Director, the Deputy Centre Manager will be responsible for:

Attend all Management Meetings and any other meeting as requested by the Centre Director, Asset Manager / Landlord.

Specific Management Responsibilities

  1. Keep Savills/Owner fully informed of all management, marketing, leasing and operational activities.
  2. Maximise opportunities to generate additional income.
  3. Ensure high levels of customer service are provided at all times.
  4. As required prepare and submit to the Centre Director, Asset Management Surveyor/Landlord a brief weekly report/update.
  5. Maintain accurate records of correspondence, lease information, contractors on site, file notes on all meetings with retailers and any other relevant information that should be maintained to provide a proper audit trail.
  6. Ensure that each retailer adheres to their lease and Tenant Rules and Regulations.
  7. Be fully conversant with all relevant health and safety legislation.
  8. Comply with all H&S Regulations.
  9. Submit for approval overtime schedules for staff alongside explanations where necessary.
  10. Assist with the issue of work permits and maintain accurate records of the same.

Marketing

  1. Assist the Centre Director, Head Office and any retained Consultants with the development, implementation and ongoing review of the Marketing Budget.
  2. Be fully conversant with the demographics and socio-economics of the development’s trade area.
  3. Assist the repositioning of the Marketing Budget in accordance with the change in retail trends.
  4. Meet with the retailers on a regular basis to discuss the marketing, promotional and advertising requirements for their business.
  5. Stay abreast of market trends by actively networking and keeping up with all industry journals.
  6. Following strict company guidelines, manage the day to day content on social media and the centre web site.

Operations

  1. Implement all operational systems and procedures in accordance with the Standard Savills Operational Procedures and Systems Manual.
  2. Maintain the centre to the very highest of standards.
  3. Minimise the Liability Risk exposure of the Owner.
  4. Maintain all plant and equipment to the very highest of standards.
  5. Ensure that all contractors satisfy the insurance requirements as required under the Savills Public Liability Policy.
  6. Ensure that all operations and maintenance undertaken at the centre conforms with the work place health & safety legislative requirements.
  7. Ensure that all operations and maintenance undertaken at the development conform with any other relevant legislative requirement applicable to those tasks.
  8. Ensure that all operations and maintenance undertaken by the Centre’s contractors conforms with the specifications as agreed to between the Centre and the contractor.
  9. Keep up to date any Program Maintenance Schedule.
  10. Manage periodic site-wide Health & Safety inspections reporting back to the Centre Manager/ Director with any risk improvement recommendations.

Quality Assurance/ Customer Service

Adhere to all Quality Assurance requirements / Customer Service standards.

Public Relations

  1. Establish and maintain harmonious relationships with the local business community and council/government authorities.
  2. Actively involved with the Chamber of Commerce and other local organisation that may assist with the future development of the centre.

Limits of Authority

The Deputy Centre Manager shall not without authority:

  • Employ or dismiss salaried staff.
