EA/Office Manager
The role will support 3 Exec team members based in the UK. Key responsibilities will include:
Organizing meetings and scheduling callsManaging calendarsPreparation for meetingsMaking travel arrangements and detailed travel itinerariesPreparing expense reportsExpense report reconciliationPreparing presentationsActing as a point of contact among executives, employees, clients, and other external partnersWorking closely with all the company's Executive AssistantsProvide support to the property management team as neededProvide support to the investment/development team as neededAssist in the coordination of broker events, gifts for such events, or year-end holiday giftsOrganize, maintain, and file electronic & hard filesHelp maintain historical cost library if neededSort, process, and code invoices for the Development Manager if neededCoordinate insurance policy updates and renewals
Oversee and support all administrative duties in the office and ensure that office is operating smoothly. Key responsibilities include:
Organize and prepare onsite meetingsManage the schedule for our conference/board roomsAct as point person for office equipment maintenance, post, shipping, supplies, and equipmentCoordinate guest and vendor access to the officeCoordinate with IT department on all office equipmentAssist with new employee onboardingPartner with HR to maintain office policies as necessaryCoordinate travel for employeesHelp implement and maintain the company's ESG office policiesAssist with marketing and 'swag' coordinationEnsure the kitchen is stocked with food and beverages for employeesManage relationships with vendors, service providers, and office landlordParticipate actively in the planning and execution of events within the officeMonitor and maintain office suppliesEnsure security, integrity, and confidentiality of dataMaintain a safe, secure, and pleasant work environment Personal Attributes:
