Overview of role
The Personal Assistant to the CMO will provide administrative support to the CMO and senior MBDC leadership team, undertaking research to support MBDC activities and be actively engaged on global projects.
This varied position will require initiative, diplomacy, adaptability, discretion and energy and a willingness to work collaboratively. Exceptional organisational skills and a keen eye for detail are a must, along with a can-do attitude, willingness to learn and calm manner.
The CMO function comprises the Marketing, Business Development and Communications ("MBDC") teams and comprises of circa 45 people across ten offices. This is a dynamic and fast-paced team that works across the Asia, Middle East, Europe and Americas region.
Duties, Responsibilities & Person Specification
Administrative Support
Diary management for the CMO. Coordinating meetings for the CMO and MBDC leadership team including preparing agendas, taking notes, ensuring action points have been completed and general preparation of documentation. Support in creating presentations and management packs as appropriate. Arranging travel and processing expenses. Arranging meetings and events for internal and external clients, including on-site support at events out of hours from time to time. Managing and processing invoices relating to the Global MBDC programme. As part of a team, monitoring the firm's general email address and redirecting enquiries as appropriate. Other tasks as assigned by the CMO. Business Research and Analysis
Undertaking research using the web and subscription based research tools as directed to support Business Development activities. Creating and updating reports for management and clients on marketing, business development and communications topics as directed. Research into competitors and industry trends as directed. Projects
Assist with administration (collation of materials, note taking, meeting arrangements etc.) and tasks for global projects. Supporting digital marketing and communications activities including social media and intranet postings and website editing. Education, Skills & Experience
Secondary school qualification is required; degree in Business or Marketing field is beneficial. Relevant experience working in a professional or financial services environment. Highly skilled in developing visually impactful PowerPoint presentations. Proficiency in Microsoft Office suite of products is essential. Familiarity with CRM systems (e.g. InterAction), web platforms (e.g. Sharepoint & Teams), and data visualisation tools (e.g. PowerBi) is beneficial. Special Requirements
This role requires attendance to the London office FOUR DAYS PER WEEK as a minimum Ability to work outside core hours from time to time to support events or during intense work periods for the team.
