Who are we looking for?

TCHC is looking for:

Job Title: EHCP/High Needs Administrator

Location: Hybrid role with a minimum of 2 days attendance per week at our Watford Head Office

Working Hours:

Option 1: part-time 20 hours per week, 10.00 am to 2.00 pm, Monday to Friday

Option 2: part-time 21 hours per week, 9.00 am to 5.00 pm, including a 1-hour unpaid lunch break, 3 days a week.

Either option can be negotiated, and TERM TIME can be considered.

Contract Type: Perm

Reports to: EHCP Coordinator

Salary Band: £22,500 to 25,000 gross per annum (pro rata)

What are we looking for?

This is an exciting opportunity to join as our EHCP Administrator starting as soon as possible.

You will join and work closely with our EHCP coordinator and education centres creating a smooth, efficient process.

The ideal candidate should be organised, adaptable, and have great communication skills. They should also be comfortable using Microsoft products.

A background in processing further education documents of EHCPs would be beneficial, however, this is not an essential requirement as training will be provided for this role.

Main Tasks & Responsibilities

  • Experience working with EHCPs or other special educational needs administration.
  • A good understanding of the principles and practices of autism education, or a willingness to learn and develop your skills in this area.
  • A high level of accuracy and attention to detail, with the ability to work to deadlines and prioritise tasks.
  • A positive and enthusiastic attitude, with the ability to work as part of a team or independently.
  • Confident with the use of Microsoft packages
  • A commitment to safeguarding and promoting the welfare of children and young people.
  • A strong communicator both verbally and written.

EHCP/High Needs Administrator

· Assist the tutors in conducting and administrating referrals for access assessments and collating EHCP evidence throughout the year.

· To monitor all EHCP referrals to TCHC centres ensuring any actions are completed by the relevant person.

· Monitor and gather data for all high needs/EHCs – starts – attendance-withdrawals-progression.

· Maintain a central confidential records system for all learners with EHCPs.

· Apply and track all learners with access arrangements ensuring all are in place.

· Research and locate information, materials and resources where appropriate.

· Request and track release of report forms and referral forms for assessments

· Support with Specialist Equipment between the Local Authority’s ICT Service and High Needs Funded/EHCP students.

· Maintain the confidential records of all High Needs Funded/EHCP students, including but not limited to hard copy and electronic files, excel spreadsheets, and databases.

· Support each centre manager and the EHCP coordinator by co-ordinating and booking Annual EHCP Reviews with students, families, colleagues, advocates and professionals as appropriate.

· Maintain updates of EHCP-related information under the supervision of the EHCP Coordinator & centre Manager

· Maintain detailed trackers for High Needs Funded/EHCPs as required. Ensure that any amendments are actioned and recorded centrally.

· Participate and gather data for any quality & compliance inspections when required.

Note: These responsibilities serve as an initial outline for the tasks that the post holder will initially be expected to perform. Changes may occur over time to accommodate evolving job requirements and adapt to shifting circumstances.

Furthermore, given the dynamic nature of our operational environment, it is crucial for individuals in these roles to demonstrate flexibility and a willingness to travel to different work locations. This outline represents an initial plan and will be subject to periodic review as part of our Continuous Professional Development process.

The individual in this role is responsible for upholding the confidentiality of information pertaining to clients, staff, and other stakeholders. Certain aspects of their work involve handling confidential information, which should not be disclosed to individuals outside the scope of their official duties. It is imperative that the post holder consistently always adheres to the provisions of the General Data Regulation Act.
