Job description


An exciting opportunity has arisen for a Booking Clerk within the busy Endoscopy Booking Office. The successful candidate will be required to assist in providing an effective and efficient Endoscopy Booking service ensuring that the information held electronically is up to date and available for health professionals who are managing diagnostic and 2WW pathways. Applicants should have previous experience in dealing with the public and be able to work under pressure.
General computer literacy and knowledge of Microsoft packages are essential.
Booking endoscopy procedures on appointment system (HICSS) for patients according to required targets and taking into account patient needs
Ensure that endoscopy lists are booked appropriately and with the correct procedure according to the list consultant.
Dealing with patient queries over the telephone.
Liaising with other hospital departments to resolve queries/book patients.
Request overnight beds for patients where relevant.
Request pacemaker checks for patients where relevant.

All new staff will be subject to a probationary period covering their first six months in post. Travel between hospital sites may be required.

1. To deal sensitively and discreetly with patients’ queries both by telephone and when they attend the Department, using empathy and reassurance
2. To problem solve and to highlight any perceived urgency to the appropriate member of the professional staff.
3. To be familiar with and to use continuously the relevant computer systems to register patients, check and update patient records
4. To maintain a high standard of quality in providing the Waiting List and Out Patient service, supporting patients, clinical staff and the Trust in achieving their goals by ensuring that lists are fully utilised.
5. To produce high quality patient information for the Trust to enable maximum use of resources and to support service level agreements and planning for future services.
6. To work with Straight To Test teams in providing sufficient capacity for patients on 2WW cancer pathway.
7. To highlight concerns about waiting times as appropriate to the Waiting List Lead, Business Manager or the Clinical Lead.
8. To undertake general office duties, including checking stock levels and ordering as appropriate.
9. To be familiar with the duties and provide cover for other members of the team.
10. To behave in a courteous manner towards patients and other staff at all times. To present a positive image of the department at all times, remembering that in many instances you will be the first point of contact for the patients.
11. Undertake mandatory training provided by the L&D Hospital and adhere to Trust policies. To undertake other training as appropriate to the role.
12. To maintain patients’ privacy and dignity at all times
13. Take an active role in the Endoscopy Unit, attending staff meetings and contributing to service improvement.
14. To provide training to new staff members.
15. To provide administrative support for the endoscopy service.
