Role: Events Coordinator

Grade and Salary: Grade 5, £25,138 - £28,759 per annum

FTE and working pattern: 1 FTE, 35hrs per week, Monday - Friday

Holiday Entitlement: 28 days annual leave plus 9 buildings closed days (and Christmas Eve when it falls on a weekday)

Purpose of Role

The National Robotarium Events co-ordinator will support the Business in promoting all aspects of Robotics and AI through events within the facility and actively plan and support all events attended by the National Robotarium team at external venues.

Key Duties & Responsibilities

  • The Events co-ordinator will assume responsility for accepting and scheduling all booking requests for the facility events spaces using the National Robotarium software.
  • The Events co-ordinator will liaise with all customers regarding the planning of their event to the highest standard.
  • The Events co-ordinator will liaise with the necessary internal functions, Comms and Marketing, finance, estates etc as required to facilitate all event bookings requirements.
  • The Events co-ordinator will plan and organise National Robotarium attendance at events held at external venues domestically and internationally ensuring safe movement of personnel and equipment.
  • The Events co-ordinator will liaise with external venue management teams to ensure that all National Robotarium on site requirements are met, space, power supplies, facilities etc.
  • The Events co-ordinator will liaise with all external customers and event management teams as well as finance representatives in terms of invoicing and or procurement activities.
  • The Events co-ordinator will liaise with appropriate Health and safety management personnel regarding the arrangement of on site or off-site demonstrations and operations of robotic equipment owned by or operated by the National Robotarium and its personnel.

In addition, the Events Coordinator will also carry out additional responsibilities

Leading / supporting the creation and production of events-related marketing collateral, working with the Communications Manager to ensure alignment with the Robotarium
  • 's overall communications strategy and brand guidelines.
  • Contributing to the internal and external promotion of National Robotarium events to a variety of stakeholders via digital channels including web, social media, news, SharePoint, and digital advertising.
  • Identify and support opportunities to enhance the National Robatarium
  • 's reputation and engage with key target demographics through the coordination and successful delivery of events and event promotion.
  • Represent the National Robotarium in the planning, organisation, communication and delivery of university-wide events and engagement activities related to robotics, AI, Computer Science and STEM.

Essential & Desirable Criteria

Essential

  • Literacy and numeracy skills equivalent to SCQF Level 5 or similar or equivalent experience
  • Experience of working within a similar environment as outlined above
  • Competent in the use of relevant IT packages
  • Well-developed interpersonal skills
  • Demonstrable professional and proactive approach to sales activity, including calls and in person meetings
  • Demonstrable ability to work quickly, flexibly, and accurately in a dynamic, changing and pressured environment
  • Demonstrable provision of excellent customer service

Desirable

  • Educated to SCQF Level 6 or equivalent qualification

Knowledge, Skills & Experience

  • Ability and willingness to learn new digital skills and capabilities appropriate to your role and how it evolves
  • Understand and adhere to information security practices particularly as it relates to personal or sensitive information
  • Maintain awareness of my own digital wellbeing by being mindful of the length of time spent at a screen and the impact on mental and physical health in using digital technologies.

The National Robotarium is involved in markets ranging from Healthcare, Offshore renewables, Manufacturing, Logistics, Space, Oil and Gas, Social care, Hazardous Environments and Autonomous Vehicles and as such, this role will have an exciting level of variety and interest.

Based at Heriot-Watt University's Edinburgh campus, the National Robotarium has three main objectives;

  • To work in partnership with industry to solve problems by applying the resources of the National Robotarium and its supporting universities (UoE and HWU) and as a result to have a positive impact on the economy and on society.
  • To raise awareness and develop talent in the areas of AI and Robotics in schools, in business and in the public in general.
  • To inform future needs for advanced research.
