Job description

We are looking for a capable and enthusiastic part-time Events Coordinator to help us run and expand our venue hire and events programme at All Saints.

We host a wide variety of events in our grade 1 listed church building - ranging from classical concerts to Brighton Coffee Festival, fashion shows, gin tasting, book signings, makers’ markets and everything in between, and the Events Coordinator will play a key role in their delivery. This is a fantastic opportunity for someone who loves live events and is keen to work in a community-focused organisation.

The role is part-time 14 hours per week, with scope for overtime during busy periods. The salary is £15 per hour. This role is for a fixed term 12 month contract initially.

About All Saints Hove

All Saints is an active church and community hub in central Hove. We believe that there is a place for everyone to receive the unconditional welcome of God. We seek to give voice to those on the margins of our society and use our facilities to support the most vulnerable in our community.

We host a wide variety of events in our grade 1 listed church building - ranging from classical concerts to Brighton Coffee Festival, fashion shows, gin tasting, book signings, makers’ markets and everything in between. We regularly host performances from the likes of Brighton Festival Chorus and Sussex Symphony Orchestra and are a regular venue for Brighton Festival and Brighton Fringe, as well as hosting our own events such as our popular Lunchtime Concerts series and our annual Christmas by Candlelight concert. Alongside this, we hold regular worship as well as community activities such as our Little Fishes playgroup, community choir and support services for refugees. Profits from venue hire all go back into supporting our community activity and maintaining our historic building.

About the role

We are looking for a capable and enthusiastic part-time Events Coordinator to help us run and expand our venue hire and events programme at All Saints. The Events Coordinator will play a key role in the smooth running events at All Saints, with the following key responsibilities:

  • Dealing with booking enquiries
  • Liaising with hirers to understand their requirements and help plan their events
  • Greeting and welcoming hirers, unlocking the building and preparing the building for hirers
  • Ensuring that policies and procedures are up to date and followed correctly, for example health and safety, fire safety and risk assessments
  • Locking up and securing the building
  • Where necessary, being on site to oversee events (in general, most of our events do not require you to be on site for the whole duration of the event)
  • Where necessary, being on call in case of emergencies during events
  • Liaising with the One Bread Cafe team to arrange bar service and catering as required
  • Working alongside other team members including our Administrator, Caretaker and cafe team to ensure the smooth running of events
  • Developing new business and attracting new hirers to All Saints
  • Supporting with marketing of events, e.g. updating the All Saints website

The role is 14 hours (2 days) per week. This will include some set time in the office each week, as well as some hours on site supporting events, which will vary and may be during weekends and evenings. At particularly busy times when we have large numbers of events, you may be required to work additional hours, which will be paid as overtime. There is scope for a level of flexibility and some home working in this role, if desirable.

This is a fantastic opportunity for someone who loves live events and loves meeting people - you’ll get to play a key role in a wide range of events, and you’ll be able to attend concerts and events for free during the course of your role. There will also be opportunities to work alongside the All Saints team in producing our own events and concerts. This role would be ideal for someone who lives locally to All Saints and can be easily available for opening up / locking the building.

You will have the support of the wider All Saints team in carrying out your role, which includes our Administrator, Caretaker, Cafe Manager, Vicar and a number of other staff and committed volunteers who know the building well and will work collaboratively with you as you carry out your role.

What we are looking for:

Essential

  • Excellent communication skills both written and verbal
  • Great people skills, able to build positive working relationships with all our hirers
  • Highly organised and methodical, ensuring that processes and procedures are followed
  • A practical problem-solver
  • Collaborative, able to work well with the wider team of staff and volunteers at All Saints to achieve the best results
  • Creative and ready to new bring ideas and solutions to the table
  • The ability to work flexibly and be available evenings and weekends where required

Desirable

  • Previous experience of event coordination
  • Previous experience of facilities/buildings management
  • Marketing and comms experience is not an essential part of this role but would be a massive bonus, and there may be opportunities to further develop a marketing aspect of the role if the successful candidate has skills in this area.

We are an inclusive church, and there is no requirement for the post-holder to be a practicing Christian, however you will need to have sympathy with the aims and practices of the Church of England and our parish.
