About you…

The successful candidate will :

  • Be confident with working in a fast-paced and confidential environment ensuring that deadlines are met.
  • Enjoy working as part of a team coordinating complex projects and programmes for Sound working knowledge and experience of complex diary management.
  • Experience of working to and meeting deadlines.
  • Excellent communication skills with the ability and confidence to communicate effectively at all levels both verbally and in writing.


What you’ll do…

Working directly with the Executive Directors, the Executive Assistant plays a key role coordinating meetings and projects, working with others to ensure deadlines are met and being a key point of contact for both internal and external partners.

This role will mean working in a high profile, confidential environment, supporting the Executive Director to fulfil the purposes, values and objective of Trivallis’ Corporate Plan.

What you’ll be responsible for…

  • Provide guidance and advice to staff on the views of the Executive Director.
  • To provide an effective link between the Executive Directors and their direct reports.
  • Manage and maintain the Executive Directors complex diary and email account.
  • Filter emails highlighting urgent correspondence and action enquiries on behalf of the Executive Directors.
  • Manage on behalf of the Executive Directors, all face-to-face video conference and teleconference meetings and travel itineraries, ensuring these are set up in a timely, efficient and cost-effective manner.
  • Compose letters and emails for the Executive Directors on behalf of Trivallis.
  • Ensure all internal and external clients are treated with professionalism and quality, with enquiries and requests being handled in a timely and efficient manner.
  • Act as a conduit for gathering and reporting back information at the highest levels within Trivallis and external bodies.
  • Assist in the monitoring of internal audit actions to ensure compliance for the Directorate.
  • Ensure deadlines for reports are met for all Board, Committee and Executive Leadership Meetings, assisting the Executives in the production of these papers.
  • Undertake research and projects when required.
  • Support the review process for complaints and handle direct enquiries accordingly.
  • Ensure strategies, policies and procedures owned by the directorate are current and reviewed on a regular basis.
  • Work closely with the Governance Team to ensure core business objectives are met in accordance with the appropriate processes.
  • Assist Operational Directors and other senior staff on an ad-hoc basis.
  • Collate information for reports and presentations.
